JOB DESCRIPTION

The receptionist is responsible for meeting and greeting the customers as they enter the building. By presenting a professional appearance and maintaining an upbeat attitude, the receptionist provides a positive first impression. The receptionist should project the same presence on the phone when customers call and must know to whom to route incoming calls, as well as take notes accurately when calls cannot be routed to the appropriate person.

DUTIES AND RESPONSIBILITIES:

  1. Answers, screens, and directs calls on a multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to appropriate employees or voice mail.
  2. Clears messages each morning and delivers them to appropriate employees.
  3. Meets and greets all visitors/customers; determines their needs and directs them to the appropriate employee/locations.
  4. Responds to visitors, clients, and employees in a courteous and professional manner.
  5. Opens and routes incoming mail.
  6. Prepares and forwards outgoing mail and packages.
  7. Composes and types routine correspondence as required.
  8. Performs general clerical duties including but not limited to filing, photocopying, and mailing as required.
  9. Organizes and maintains the file system; files correspondence and other records.
  10. Orders and maintains supplies, arranges for equipment maintenance, and keeps the reception area organized.
  11. Prepares and maintains meeting and conference room reservation and catering schedules; circulates schedule to appropriate staff.
  12. Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  13. Meets and greets customers with courtesy and efficiency.
  14. Maintains a professional appearance.
  15. Uses appropriate telephone techniques and phone etiquette.
  16. Answers customer questions over the phone.
  17. Refers callers to the right department; if the department is not available, a message is to be taken.
  18. Takes clear and legible messages from customers.
  19. Files paperwork (receipts / vehicle plates).
  20. Sorts and delivers mail to managers within the same building.
  21. Operates fax machines and scanners.
  22. Performs other related duties as assigned by management.

Requirements:

  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
  • Bilingual skills are a plus.
  • Professional appearance and demeanor are a requirement.
  • Must have a valid Texas Driver License.
  • Must be 21 or older.
  • Must pass a drug test.
  • Must pass a background screening.
