Job summary

Center4Hospice is seeking a Bereavement Department Administrative Assistant for a Monday–Friday schedule. This role supports intake, EMR management, and bereavement tracking, while coordinating with volunteers and counselors to ensure compassionate service.

The position requires a high school diploma, administrative experience, and proficiency with Excel, Microsoft Office, and Outlook. Strong communication and organizational skills are essential in a fast-paced hospice environment.

Brief Description
Position: Bereavement Department: Bereavement
Reports To: Manager of Bereavement Services FLSA Status: Non-Exempt
Schedule: Monday–Friday
Main Purpose
Demonstrate professionalism, empathy, and outstanding service when welcoming and assisting visitors, clients, and families in both the Bereavement Department and main reception area. Coordinate and perform administrative functions related to bereavement services, overseeing client records and processes from intake through discharge. Partner closely with Bereavement Volunteers, Bereavement Counselors, and the Manager of Bereavement Services to support quality care and service delivery.
Essential Functions
Bereavement Clients:

  • Receives information calls and provides information as requested including finding bereavement services for those outside the CHC service area.
  • Receives bereavement referrals, gathers initial intake information and forwards information to Manager of bereavement Services /Counselors for assignment. If she/he determines the bereaved is in distress, call is forwarded to available Bereavement Counselor.
  • Supports scheduling of bereavement clients.
  • Welcomes new clients and provides intake forms including outcome measures, instructions to new clients, enters data in EMR, and maintains electronic chart making updates as needed.
  • Runs multiple reports daily to gather new bereaved information and verify contact information.
  • Starts and maintains bereavement tracking system for all bereaved.
  • Begins mailing program with condolence cards, oversees administration of bereaved mailing program to maintain compliance, completes related tasks.
  • Provides administrative support for bereavement events and services
Bereavement Office Support
  • Provides administrative support to Manager of Bereavement Services and Bereavement Counselors in all offices.
  • Performs and prioritizes general office tasks as assigned.
  • Maintains electronic charts including scanning.
  • Processes incoming and outgoing mail.
  • Maintains inventory of Bereavement office supplies.
Bereavement Volunteers
  • Provides non-clinical support for bereavement caller volunteers, answers volunteer questions, provides requested information, follows up on volunteer requests as needed, and informs Manager of Bereavement services when need is clinical.
  • Oversees bereavement mailing program volunteer.
  • Trains and assists bereavement volunteers for office related duties.
  • Tracks bereavement contacts and notifies Manager of Bereavement Services if contacts have not been made.
Additional Functions
  • Committed to Agency resolution against fraud and abuse.
  • Knowledgeable in hospice philosophy and state and federal rules and regulations.
  • Arrives at work and meetings on time and ready to work.
  • Respects confidentiality of patients/families and other Agency employees.
  • Attends educational meetings/conferences for professional growth as required.
  • Sees change as an opportunity and maintains a level of flexibility which allows for adaptation to new ways of performing.
  • Back up to the front desk coverage. Primary and last minute back up.
  • Follows directions and policies that allow for an organizational commitment to working under time pressures without sacrificing quality.
Performs other duties that may be assigned.

  • Must be able to demonstrate high level of professionalism and care for clients, visitors, and staff.
