Qualifications

  • Bachelor’s degree in Human Resources, Business Administration or related field preferred or equivalent of at least 3 years in benefits administration and leave management.
  • Knowledge of federal, state and local benefit and leave laws including ACA, ERISA, FMLA, ADA and related regulations.
  • Familiarity with benefit and payroll processes and integration with benefits systems.

Responsibilities

  • Administers day-to-day benefit administration operations including onboarding, enrollments, changes and terminations, COBRA coordination and exit documentation.
  • Manages annual Benefits Open Enrollment process from system setup to end-to-end execution.
  • Supports daily 401(k) plan administration and employee support.
  • Coordinates with benefit vendors and brokers to resolve issues and verify eligibility (EOI).
  • Reconciles benefit billings for accuracy and timely vendor payments.
  • Generates HRIS and benefits reports to support internal reporting needs.
  • Supports ACA 1094-C and 1095-C filings and look-back periods.
  • Partners with payroll/HR to communicate leave policies and provide guidance to managers and employees.

About the Role:

Under the direction of the Senior Payroll & Benefits Manager, the Benefits & Leaves Administrator plays a critical role in managing and administering employee benefits and leave programs to ensure compliance and to ensure the Company’s benefit programs remain competitive. This position is responsible for managing the accurate processing of benefits enrollments, changes, and terminations, as well as, managing leave of absence requests including FMLA, ADA accommodations, and other statutory leaves. The role requires close collaboration with HR, payroll, and external vendors to maintain seamless benefits delivery and resolve any issues promptly, as well as, provide guidance and support to employees regarding their benefits and leave entitlements, ensuring clear communication and a positive employee experience. Ultimately, this role ensures that the organization’s benefits and leave programs are administered efficiently, accurately, and in full compliance with all applicable local, state and federal laws and regulations.

  • Location: Commerce, CA - 90022 (In-Person)
  • Administers and supports with day-to-day benefit administration operations, including onboarding and new hire enrollments, qualifying life event changes, and off-boarding processes to include COBRA coordination and final exit documentation.
  • Manages the annual Benefits Open Enrollment process, including system setup, testing, and end-to-end execution each year.
  • Supports with the daily 401(k) plan administration, including maintenance, and employee support.
  • Coordinate with benefit vendors and brokers to resolve issues and verify eligibility (including EOI).
  • Reconciles complex benefit billings for accuracy and to ensure timely payments to vendors.
  • Assists with benefit marketing & employee portal communications.
  • Creates, maintains, and generates standard/ad-hoc HR and benefits reports to ensure HRIS data is accurate and supports internal reporting needs.
  • Contributes to continuous improvement efforts by identifying process enhancements and supporting HRIS and benefits-related projects.
  • Administers and works closely with Payroll on the annual ACA 1094-C and 1095-C filing and look-back period.
  • Acts as a key partner to the payroll and Human Resources team, and shares insights on trends, reporting, and system updates.
  • Serves as the primary point of contact for employees, managers, and HR regarding leave of absence and benefits-related inquiries.

Leave Administration:

  • Administers the employee leave programs, including FMLA, ADA, CFRA, state-specific leaves, parental leave, military leave, and other protected absences, as well as, reasonable accommodation cases, including intermittent leaves, and concurrent leaves to ensure compliance. This includes evaluating employee eligibility for applicable leave of absences in accordance with federal and state regulations, company policies, and individual circumstances.
  • Manages a high-volume case load of leave requests, ensuring timely, accurate, and compliant processing of applications, extensions, accommodations, and return-to-work documentation. This includes coordinating with employees, healthcare providers, legal counsel, and third-party administrators to obtain required documentation and medical certifications.
  • Partners with HR Management to develop, update, and communicate leave of absence and benefits policies and procedures. This includes providing guidance and training to managers and employees on leave policies, benefits programs, and compliance best practices.
  • Maintains accurate, organized, and confidential employee leave and benefits records.
  • Generates reports and analyze leave utilization, trends, and compliance metrics to support HR leadership and business needs.

  • Assist with additional HR projects, other duties and responsibilities as assigned.

Minimum Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration or a related field preferred OR an equivalent of a minimum of 3 years of experience in benefits administration and leave management.
  • Strong knowledge of federal, state and local benefit and leave laws including ACA, ERISA, FMLA, ADA, and other relevant regulations.
  • Familiarity with benefit and payroll processes and integration with benefits systems.

Preferred Qualifications:

  • Professional certification such as Certified Employee Benefits Specialist (CEBS) or SHRM-CP/SHRM-SCP.
  • Experience working in a multi-state environment with diverse workforce populations.

Skills:

This role requires strong knowledge and analytical skills essential to interpret relevant laws and regulation requirements and be able to apply policies correctly to prevent legal risks. In addition, this role will ensure compliance, accurate processing and managing of complex benefits and leave programs daily while ensuring employee satisfaction. This roles must be proficient in ADP HRIS and benefits-administration software to facilitate efficient data management and tracking (i.e., efficient processing of enrollments, changes, and leave tracking), and reporting.

Attention to detail, organizational and communication skills are critical to coordinate cross-functional activities such as managing multiple concurrent cases, maintaining accurate records, meeting deadlines, and providing clear guidance to employees on their benefits and leave options. Additionally, problem-solving skills are required to frequently apply when resolving discrepancies, communicating and addressing employee concerns, and coordinating with various internal and external employees and vendors. Must be able to work efficiently and effectively in a Team environment.

Preferred qualifications and experience may enhance the administrator’s ability to handle diverse and evolving regulatory environments, improving overall program effectiveness.
