JOB PURPOSE
The HIV Benefits Coordinator is responsible for upholding the highest professional and ethical standards while serving Access clients and community partners. This position requires a motivated, organized, and detail-oriented professional who can effectively manage multiple priorities in a fast-paced environment.
The HIV Benefits Coordinator assists eligible clients with enrollment in health insurance plans and other related healthcare services and resources. The position is also responsible for processing insurance premium payments and cost-sharing assistance for medical, dental, and vision services, while ensuring compliance with program requirements and delivering exceptional customer service to clients.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
- Demonstrate compassion, professionalism, and respect when serving clients, community partners, and staff.
- Respond to all phone calls, emails, and written correspondence within 48 hours of receipt.
- Process client referrals within 48 hours, unless otherwise directed by a provider, and in accordance with Access policies and procedures.
- Orient and educate program participants on eligibility requirements, benefits, and available services.
- Monitor client appointments and track compliance with program requirements and guidelines.
- Maintain a thorough understanding of Access programs and services.
- Track available funding, obtain outstanding medical bills, and process approved payments in a timely manner.
- Prepare and submit accurate program reports by established deadlines.
- Gather and analyze information required to estimate costs for medical appointments, procedures, and related services.
- Develop a working knowledge of CPT codes, medical billing practices, and healthcare reimbursement processes.
- Utilize Access databases and systems to locate information, maintain records, and perform assigned duties.
- Collect, process, maintain, and safeguard Protected Health Information (PHI) in compliance with HIPAA regulations.
- Develop and maintain positive working relationships with providers, members, program partners, and funding agencies.
- Ensure databases, spreadsheets, and client records are updated accurately and in a timely manner.
- Maintain knowledge of community healthcare programs, including Medicaid, Medicare, Nevada Check Up, prescription assistance programs, and Women's Health Connection.
- Schedule eligibility and enrollment appointments and provide follow-up support to clients.
- Analyze and resolve issues using sound judgment, critical thinking, and problem-solving skills.
- Effectively manage multiple priorities in a fast-paced environment.
- Demonstrate proficiency in Microsoft Office applications, including Outlook, Excel, and Word.
- Attend staff meetings, trainings, and regular meetings with supervisors as required.
- Develop and maintain working knowledge of the Mitel phone system, Salesforce, and CAREWare.
- Adapt to changing program requirements, priorities, and work responsibilities.
- Perform other duties as assigned.
ADDITIONAL REQUIREMENTS
- Perform general administrative duties for Access as needed.
- Respond to and manage consumer inquiries by phone, email, and other communication channels.
- Provide accurate information regarding Ryan White Part B Eligibility and Patient Care Services programs, including eligibility requirements, benefits, and enrollment processes.
- Handle inquiry calls and referrals promptly, ensuring appropriate follow-up and resolution.
- Utilize the phone system to answer, transfer, route, and return calls, as well as manage voicemail messages.
- Accurately enroll new Accessclients and maintain complete enrollment documentation.
- Conduct new member orientations and educate participants on available programs, services, and resources.
- Develop and maintain a working knowledge of community resources, including government, nonprofit, and private social service programs.
- Maintain a thorough understanding of Access administrative processes, policies, and procedures.
- Support cross-functional departmental operations to ensure efficient service delivery and client satisfaction.
- Maintain confidentiality of client information and comply with all organizational policies and HIPAA regulations.
- Perform other related duties as assigned.
EDUCATION AND EXPERIENCE
- Bilingual (Spanish/English) required.
- High School Diploma or equivalent required; Associate Degree (AA) preferred.
- Minimum one (1) year of experience in a healthcare, social services, or patient services setting; experience with medical billing, insurance benefits, or patient coordination preferred.
- Minimum one (1) year of general office experience, including data entry, filing, document management, and customer service.
- Minimum two (2) years of experience using databases and software applications, including Microsoft Word, Excel, Outlook, and PowerPoint.
- Strong organizational, time management, and attention-to-detail skills.
- Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.
- Ability to communicate effectively with clients, providers, community partners, and staff.
- Working knowledge of office technology, including printers, copiers, scanners, and related troubleshooting.
- Basic IT proficiency, including software installation and removal, software updates, printer configuration, and routine office equipment maintenance.
- Flexibility to work schedules established by departmental operational needs. Work schedules may be modified as organizational needs change.
- Ability to maintain confidentiality and comply with HIPAA and organizational policies regarding protected health information.
- Required to successfully pass a State of Nevada Screening.
- Willingness to participate in ongoing training and professional development opportunities.
WORK ENVIRONMENT
- The noise level in the work environment is usually moderate, and the employee usually works in a climate-controlled office environment.
- Be able to sit at a computer for 6 – 8 hours per day.
- Be able to stand between 3 – 6 hours per day.
- Be able to withstand hand/wrist deviation and repetition.
- Must be able to lift, carry up to 30 pounds with a fair consistency.
