The Benefits Coordinator supports benefits systems, eligibility data management, and vendor billing to ensure employees receive accurate and timely access to benefit programs. This role manages benefit feeds in HRIS platforms, responds to employee benefit inquiries, reconciles vendor invoices, and assists with annual enrollment and ongoing benefits operations. The position offers the opportunity to work remotely with flexible hours while contributing to key benefits initiatives within a large publishing organization.

Responsibilities
  • Perform routine reviews of benefit feeds in HRIS platforms, such as UKG, to identify and resolve transmission issues and inconsistencies in employee benefit data.
  • Manage incoming benefits-related employee requests by responding directly, researching answers, or directing questions to the appropriate resource.
  • Review recurring benefit vendor invoices by comparing charges against current participation and enrollment information to confirm accuracy.
  • Investigate discrepancies between invoices and benefit records, collaborating with external providers to correct issues and facilitate timely payment.
  • Organize, maintain, and retain supporting billing documentation for financial close processes and audit requirements.
  • Maintain employee eligibility information for programs such as Headspace by submitting files, verifying records for accuracy, and updating data as needed.
  • Manage eligibility submissions for programs such as Scripta and reconcile employee data to help ensure benefit access remains properly maintained.
  • Assist with annual benefits enrollment activities, including preparing and coordinating employee communications and supporting enrollment logistics.
  • Support year-end benefits data reviews and accuracy checks to ensure records are complete and consistent.
  • Provide administrative assistance with benefits compliance requirements, including documentation and reporting support.
  • Contribute to additional benefits initiatives and operational projects as business needs arise, offering analytical and administrative support.
  • Use online vendor portals to process eligibility file uploads, monitor status, and resolve file-related issues.
  • Prepare employee-facing letters and correspondence related to benefits, ensuring clear, professional, and accurate communication.
  • Handle sensitive employee data with discretion and maintain strict confidentiality in all benefits-related activities.
Essential Skills
  • 3+ years of experience in benefits administration or a related human resources support role.

  • Strong attention to detail and organizational skills, with the ability to manage multiple recurring tasks independently.
  • Proficiency with Microsoft Office tools and data entry for maintaining accurate records and reports.
  • Strong written communication skills for preparing employee-facing letters, email correspondence, and documentation.
  • Excellent verbal communication skills for collaborating with internal stakeholders and external vendors.
  • Ability to maintain confidentiality and handle sensitive employee and financial data responsibly.
  • Analytical mindset with the ability to review data, identify discrepancies, and propose solutions.
  • Reliable, responsive, and comfortable working independently on a part-time schedule.
Additional Skills & Qualifications
  • Prior experience in employee benefits or a closely related human resources or finance field.
  • Experience working with human resources and finance functions, particularly where benefits and billing intersect.
  • Familiarity with vendor eligibility file processes and reconciliation of employee data across systems.
  • General human resources knowledge, including exposure to benefits programs and HR operations.
  • Ability to manage email communication efficiently and professionally with employees and vendors.
  • Capability to support project initiatives within a benefits or HR department and contribute to process improvements.
