Samuel Hale seeks a Benefits Administrator to own the lifecycle of medical, dental, and vision benefits, and to serve as Plan Administrator for the pooled 401(k) MEP with Transamerica. You will coordinate enrollment, COBRA, census files, and remittances, while auditing compliance and supporting Open Enrollment across multiple clients.

You will also provide benefits guidance to clients and employees, integrate HRIS data, and assist with HR generalist tasks.

Job description

EmployInsure's HR function provides HR services across three service lines: our internal corporate staff, our staffing agency's temporary staff employees, and our PEO clients and their worksite employees. The Benefits Administrator owns the benefits and retirement plan for the temporary staff and worksite employees, administering medical, dental, and vision coverage, and serving as Plan Administrator for the Company's pooled 401(k) Multiple Employer Plan (MEP) with Transamerica, including bringing new client companies onto the plan.

This is not a passive administrative role. It is a real opportunity to help drive the implementation of improvements that raise service quality for our clients, expand access to benefits for their employees, and strengthen profitability for the company. The Benefits Administrator is a key contributor to a lean HR team as we administer health and welfare benefits for 69 clients and more than 7,000 worksite employees and administer 401(k) plans for 14 clients covering more than 2,800 employees. As we continue to scale, this role will be critical in influencing how we use technology, implement automated workflows, and improve procedures.

This is the right role for someone who wants to own a technical, high-stakes piece of a multi-client PEO environment, where accuracy in a contribution file or a COBRA notice has real financial and compliance consequences, and is ready to be the go-to person for benefits and retirement plan administration across the book of business.

What You Own
1. Health & Welfare Benefits Administration (Medical, Dental, Vision)

You own the full lifecycle of the Company's medical, dental, and vision plans: new hire enrollments, qualifying life event changes, and terminations. You also administer COBRA continuation coverage (notices, elections, and premium processing) accurately and on the compliance clock.

You are the designated Plan Administrator of record for Samuel Hale's pooled 401(k) Multiple Employer Plan (MEP) with Transamerica. When a new client company is ready to adopt the plan, you own the process end to end: joining new adopter calls and installation meetings, configuring the plan in the payroll system and payroll integration vendor platform, and submitting payroll census files and contribution remittances to Transamerica every pay cycle.

3. Plan Auditing & Compliance Testing

You conduct ongoing auditing of both the MEP and the health & welfare plans: eligibility, deferral elections, contribution accuracy, vesting, and loan/distribution processing. You support the annual ADP/ACP nondiscrimination testing and the annual Form 5500 audit and filings for the MEP and for the Company's health and welfare plans, coordinating with auditors, the TPA, and internal stakeholders.

You own the EDI vendor relationship for benefits eligibility file feeds: testing files, troubleshooting errors, and coordinating with carriers. You lead annual Open Enrollment logistics end to end: employee communications, HRIS/benefits system configuration, election processing, and carrier feed audits.

5. Client & Employee Benefits Support

You are a first-response resource for client and employee questions on benefits enrollment, COBRA, and 401(k) participation. You handle straightforward questions independently and elevate complex cases to the HRBP or HR Compliance Specialist with a clear summary of what's needed.

6. HR Generalist Support

The remaining piece of the role is general HR support alongside the team: shared queue coverage, onboarding/offboarding documentation support, HRIS data maintenance, and reporting and administrative support as the team needs it.

What Winning Looks Like
At 60 days:

You have working knowledge of the 401(k) MEP structure, Transamerica's systems, and the Company's medical, dental, and vision plans. You are processing enrollments, terminations, and COBRA elections accurately, and shadowing new adopter calls.

At 90 days:

You are running new adopter calls and installation meetings independently, submitting census files and remittances to Transamerica without errors, and the HRBP and Compliance Specialist are not double-checking your work.

At 6 months:

You have run at least one full Open Enrollment cycle and supported a full ADP/ACP testing and Form 5500 cycle, and you've demonstrated the accuracy and follow-through that makes you the person this book of business runs on.

Who You Are

You are precise by default, not by reminder. A contribution file, a COBRA deadline, or a carrier feed with an error isn't a minor issue to you; it's a client's retirement account or a terminated employee's coverage, and you treat it that way. You're comfortable being the person on the phone with a new client walking them through plan setup, and equally comfortable being the person quietly catching a discrepancy in a census file before anyone else notices it.

Required
  • 3–5 years of experience in employee benefits administration; direct experience administering 401(k) or other retirement plans strongly preferred
  • Bachelor's degree in HR, Business, or related field, or equivalent combination of education and experience
  • Experience working with a retirement plan recordkeeper or third-party administrator (Transamerica experience a plus)
  • Working knowledge of ERISA, ACA, COBRA, HIPAA, and Form 5500 reporting requirements
  • Proficiency with HRIS platforms; iSolved, ADP, or Paylocity experience preferred
  • Strong Excel skills and comfort managing payroll census files, contribution remittances, and eligibility feeds
Preferred
  • Experience with Multiple Employer Plan (MEP) or PEO-model benefits administration
  • Experience administering benefits within a unionized or collectively bargained workforce
  • HR or benefits certification in progress or completed: SHRM-CP, PHR, CEBS, or QKA
  • Bilingual English/Spanish a meaningful plus given the workforce populations we serve
What Will Not Work Here
  • Missing a remittance deadline or submitting a census file with errors: in a MEP, that's not an internal typo; it's another company's retirement plan
  • Waiting for someone to tell you Open Enrollment prep needs to start: you are expected to see the calendar and move
  • Needing the same plan process explained more than once: this is a fast-moving, technical environment, and the expectation is that you build knowledge and retain it
  • Treating client-facing calls as someone else's job: new adopter calls and installation meetings are yours to run
Basic Qualifications

Bachelor's degree in HR, Business, or related field required.

  • 3–5 years of employee benefits or retirement plan administration experience required.
  • Direct 401(k) or retirement plan administration experience strongly preferred.
  • Proficiency with HRIS platforms; iSolved, ADP, or Paylocity experience preferred.
  • HR or benefits certification preferred or in progress: SHRM-CP, PHR, CEBS, or QKA.
  • MEP or PEO-model benefits administration experience preferred.
  • Strong attention to detail; high standards for data accuracy in financial and eligibility data.
  • Organized and self-directed; able to manage multiple client relationships and deadlines across a high-volume environment.
  • Professional written and verbal communication; comfortable leading calls with clients and vendor partners.
