Qualifications

  • 5+ years of employee benefits administration experience.
  • Experience administering leave programs including FMLA, short- and long-term disability, and multi-state paid family and medical leave programs.
  • Experience conducting confidential discussions involving employee medical situations and leave needs.
  • Direct Workday Benefits Administration experience is required.
  • Experience reconciling carrier invoices, vendor billing, and payroll contributions.
  • Experience working with outsourced leave vendors and third-party administrators.
  • Strong understanding of ERISA, COBRA, HIPAA, FMLA, and related benefits regulations.

Responsibilities

  • Coordinate FMLA, disability, state leave programs, parental leave, and related leave programs; guide employees through leave options and eligibility.
  • Reconcile monthly carrier invoices and eligibility files; audit benefit contributions and COBRA administration.
  • Support benefits enrollment and employee inquiries; manage benefits mailbox and respond to questions.
  • Work with HRIS and Payroll on funding, reconciliation, and vendor payments; monitor regulatory updates.

Job Description: Benefits Administrator

The Benefits Administrator serves as Penn Mutual's primary administrator for leave of absence and disability programs while supporting the day-to-day administration of the Company's health, welfare, and retirement benefit programs. This role is responsible for coordinating FMLA, disability, state leave programs, parental leave, and related leave programs; guiding employees through complex and sensitive leave situations; reconciling benefit plan contributions and vendor invoices; and serving as a trusted resource for employee benefits inquiries.

The ideal candidate possesses deep knowledge of leave administration, strong benefits operations expertise, exceptional customer service skills, and hands-on Workday benefits administration experience.

Leave, Disability and Benefits Administration

Serves as Penn Mutual's primary internal contact and coordinator for leave administration including:

  • FMLA ADA accommodations (where applicable)
  • Short-term disability
  • Long-term disability
  • Parental leave
  • Caregiver leave
  • State Paid Family & Medical Leave programs in all 50 states
  • Military leave

Guides employees through leave options and eligibility requirements.

Conducts sensitive and confidential discussions with employees regarding medical conditions, caregiving responsibilities, workplace accommodations, and return-to-work planning.

Works closely with leave vendors, Payroll, managers, and HRBPs to ensure compliance and a positive employee experience.

Monitors evolving federal and state leave requirements.

Benefits Financial Administration and Reconciliation
  • Reconcile monthly carrier invoices and eligibility files.
  • Support the health savings account funding process.
  • Audit employee and employer benefit contributions.
  • Investigate and resolve enrollment and payroll discrepancies.
  • Coordinate with HRIS and Payroll regarding funding and reconciliation activities.
  • Perform quality control reviews to ensure accurate deductions and vendor payments.
  • Reconcile retirement plan contribution and distribution activity.
  • Reconcile deferred compensation contribution and distribution activity.
  • Coordinate COBRA administration.
Employee Benefits Support and Benefits Operations
  • Manage and respond to the benefits shared mailbox.
  • Serve as a primary resource for employee questions regarding all benefit programs, including but not limited to medical, dental, vision, life insurance and voluntary benefits programs.
  • Deliver exceptional customer service while explaining benefits concepts in understandable terms.
  • Support annual enrollment and benefit communication activities.
  • Respond to unemployment claims.
Required
  • 5+ years of employee benefits administration experience.
  • Demonstrated experience administering leave programs including FMLA, short- and long-term disability, multi-state paid family and medical leave programs.
  • Experience conducting confidential discussions involving employee medical situations and leave needs.
  • Direct Workday Benefits Administration experience is required.
  • Experience reconciling carrier invoices, vendor billing, and payroll contributions.
  • Experience working with outsourced leave vendors and third-party administrators.
  • Strong understanding of ERISA, COBRA, HIPAA, FMLA, and related benefits regulations.
Preferred
  • Qualified retirement plan administration experience and non-qualified deferred compensation.
  • SHRM certification.
  • Experience in financial services or a highly regulated environment.

Base Salary Range - $65,000 - $75.000
