Job Description

POSITION SUMMARY:

Responsible for the coordination of intakes, pre-admission procedures, insurance verification, and medication prior authorizations. Responsible for backup clerical and facilities functions in support of Behavioral Health Services Programs.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Under the Direct Supervision of the Department Director and/or Clinical Program Coordinator, and in accordance with established CMC and departmental policies and procedures, the incumbent performs the following functions:

Department Coordinator:

  1. Coordinates all designated aspects of the admission and discharge process which may include maintaining the intake database, conducting intake screening, pre-authorization (OPM patients), pre-registration, scheduling initial appointments, registration and admission forms, verification of insurance information and demographics, patient admission self-report and medication list, setting up demographics for e-prescribing and discharge paperwork.
  2. Works with new patients to obtain clinically appropriate collateral information from PCP and previous providers for BHS providers. Provides basic support to patients and families through the intake and admissions process in response to identified psychosocial needs, cultural, language, and religious preferences. Sets up chart, and ensures all necessary documents are present for initial evaluation. Schedules initial evaluation for all new patients.
  3. Coordinates and maintains all statistical data related to new admissions, according to department needs.
  4. Meets and greets patients and visitors to the department, ascertains purpose of visit and refers them to appropriate treatment area or department staff member to provide services, ensuring that good customer service is a priority.
  5. Answers telephone, screens and responds to or refers appropriate staff member to provide prompt professional service. Processes telephonic and faxed requests for medication refills, and coordination of care with patients’ other providers.
  6. Verifies insurance coverage for new patients and communicates findings to patients. Communicates costs associated with initial and ongoing services within BHS.
  7. Works with all BHS medical providers to initiate prior authorizations for medications. Communicates outcomes to providers and patients. Follows up with providers to determine if decision appeals should be initiated.
  8. Maintains good communication; establishes and maintains positive working relationships with patients and families, co-workers, and the public.
  9. Collaboratively works with multidisciplinary team by providing information regarding operation of the service, in relation to her/his role.
  10. Provides backup for all Department Coordinator duties ensuring that all clerical functions are completed with accuracy.
  11. Locates and pulls charts for scheduled appointments/admissions in advance, organizes charts by date and time of appointment for each provider/program, and delivers to proper location. Processes daily encounter forms, lab testing or other applicable forms for incoming patients and processes providers’ daily schedule. Ensures filing is up to date prior to patient’s appointment.
  12. Maintains order of all patient records. Ensures that patient records and dictations are signed by providers. Types, photocopies, and faxes materials as needed. Files all medical and test result reports, letters, and other relevant information, ensuring that all documents have been endorsed by the provider.
  13. Logs psychiatric consultation requests and ensures that providers receive the information promptly. Verifies receipt of consultation with referring medical staff member.
  14. Locates and pulls charts upon request to respond to patient inquiries and returns charts to file area when completed. Purges obsolete records and files in storage. Maintains access to archived records on-site or at other designated locations.
  15. Completes charges in an accurate and timely fashion. Collects co-payments and charges OPM patients at the time of service.
  16. Audits patient charges, ensuring accuracy. Adjusts charges to accounts as appropriate.
  17. Promotes and practices cost-effective use of resources.
  18. Coordinates the repair/upkeep of medical and office equipment with the Clinical Engineering and Facilities departments.
  19. Collaboratively works with multidisciplinary team in the coordination of patient care services.
  20. Coordinates the orientation of covering administrative staff and the clerical orientation of program staff.
  21. Attends organizational meetings as directed. Relays essential information to appropriate staff in a timely manner.
  22. Maintains patient privacy and dignity.
  23. Ensures confidentiality of patient and all organizational matters according to CMC policies. Maintains good communications, serves as liaison and establishes and maintains positive working relationships with employees, physicians, regulatory agencies, vendors, and the public.
  24. Participates in activities to promote improved patient outcomes.
  25. Attends staff meetings to gain a greater knowledge of current events and changes taking place.
  26. Works within policies, procedures and protocols as they relate to the job. Participates in appropriate role in disasters, fire drills, fires, and other emergency situations.
  27. Performs similar or related duties as assigned.
  28. Care reflects knowledge of, and support of, the mission statement(s) of Catholic Medical Center and practice.

Certified Medical Assistant:

  1. Works with new patients to obtain clinically appropriate collateral information from PCP and previous provider(s) through intake process. Provides basic support to patients and families through the intake and admissions process in response to identified psychosocial needs, cultural, language, and religious preferences. Facilitates patient registration to ensure all necessary documents are present for initial evaluation. Schedules initial evaluation for all new patients.
  2. Obtains consent for treatment for all patients in the practice. Provides education on 42CFR confidentiality and privacy regulations. Informs patients of a “shared EMR.”
  3. Schedules appointments, labs, and referrals.
  4. Maintains flow of patients. Identifies reason for visit and takes vital signs when appropriate.
  5. Provides assessments of patients prior to their medical appointments, as needed.
  6. Identifies, evaluates and responds to changes in patients’ condition, including laboratory report(s) and reports findings.
  7. Utilizes electronic prescriptions for all prescription needs.
  8. Takes medication orders from Physician/APRN and phones them into pharmacy, when appropriate.
  9. Distributes prescriptions to patients, as needed.
  10. Verifies insurance coverage for new patients and communicates findings to patients.
  11. Communicates costs associated with initial and ongoing services within the service.
  12. Pre-certifies services for the patients they are assigned to medical providers.
  13. Obtains prior authorization for medications, including processing denials and appeals.
  14. Utilizes New Hampshire Prescription Drug Monitoring Program and provides information to providers. Scans to EMR when indicated.
  15. Participates in activities to promote improved patient outcomes.
  16. Verbalizes the impact of improvement in relation to role.
  17. Makes suggestions to improve the quality of patient care.
  18. Completes paperwork related to service(s) in a quality and timely manner.
  19. Educates patients regarding their medication or other health issues, as directed by psychiatrist/APRN.
  20. Triages phone calls regarding medical problems from patients/family members or primary care and follows up with Physician/APRN for all emergent situations.
  21. Assists with admission of patients to the hospital, as needed.
  22. Keeps clinical area and exam rooms stocked, clean, and orderly.
  23. Maintains stock of health information pamphlets; provides pamphlets to patients. Directs patients to proper sources of information.
  24. Participates in quality assurance activities and all training seminars (OSHA and others).

Education:

  • High school diploma or equivalent required.
  • Medical Assistant certification preferred. Must be certified within 6 months of start date.

Experience:

  • Two to four years in a similar environment with practical knowledge of office administration preferred. (Additional years of education may be substituted for practical experience).
  • Experience working in a fast-paced environment, with multiple providers.
