Job summary

Southall Farm & Inn in Franklin, TN is seeking a Banquet Setup Team Member to expertly set up, break down, and maintain event spaces across the property, ensuring every room meets specifications and stays guest-ready. Reporting to the Setup Manager, you’ll work with Banquet Captains and multiple departments in a fast-paced environment, handling equipment, reading room diagrams, and ensuring safety and efficiency.

Availability nights, weekends, and holidays is required.

Qualifications

  • Experience in banquet and event setup preferred.
  • Ability to read room diagrams and floor plans.
  • Safe operation of carts, dollies and lifting equipment.
  • Must be able to lift up to 75 lbs and work in varied weather.

Responsibilities

  • Set up and break down banquet spaces according to plans and timelines.
  • Ensure rooms are guest-ready, clean, and organized at all times.
  • Transport and position tables, chairs, stages, and equipment.
  • Support with room flips, tight turnarounds, and multi-location setups.
  • Report safety concerns or equipment issues promptly.

The Banquet Setup Team Member is responsible for the efficient and precise setup, breakdown, and maintenance of all event spaces across the property. This role is critical to the success of our events—ensuring rooms are executed exactly to specification, equipment is handled properly, and spaces are maintained to the highest standard.

This position reports to the Setup Manager and works closely with Banquet Captains, Managers, and multiple departments to support a high-volume, fast-paced event environment.

Responsibilities
  • Set up and break down banquet spaces according to BEOs, floor plans, and timelines
  • Ensure all rooms and event areas are clean, organized, and guest-ready at all times
  • Work closely with Banquet Captains to confirm setups meet service requirements
  • Handle, transport, and maintain tables, chairs, staging, bars, and all event equipment
  • Maintain cleanliness and organization of storage areas and equipment
  • Assist with room flips, tight turnarounds, and multi-location event setups
  • Report maintenance issues, safety concerns, or damaged equipment immediately
  • Support vendor load-ins/loadouts and coordinate with Security or Engineering as needed
  • Follow all safety standards and protect property assets (floors, walls, finishes, etc.)
  • Assist other departments when required to support overall event execution
Requirements
  • Previous Banquet and Event Set-up experience preferred.
  • Room set-up & Breakdown (Tables, chairs, stages, podiums, etc.)
  • Basic knowledge of floorplans/room diagrams
  • Safe use of lifting equipment, carts & dollies
  • Ability to lift & move heavy objects (75+ lbs.)
  • Storage organization (Proper storage of banquet equipment)
  • Time Management
  • Attention to detail (Aligning tables, table linens, proper spacing, etc.)
  • Customer service mindset (Occasionally interacting with clients or event managers)
  • Flexibility with scheduling (evenings, weekends, holidays)
  • Cleaning & resetting event spaces
  • Strongly Preferred: Experience in a hotel, resort, or high-volume event venue
  • High School Diploma
  • Must be able to push, pull and lift 75 lbs.
  • Must be able to walk and stand for prolonged periods as needed and able to work in all weather conditions.
  • Constantly moving between indoor and outdoor environments, throughout shift.
  • Prior experience in banquet setup, houseman, or porter roles
  • Ability to read and execute room diagrams and event orders
  • Strong attention to detail and commitment to quality standards
  • Ability to work efficiently under pressure and manage multiple setups simultaneously
  • Team-oriented with strong communication skills
  • Must be available to work nights, weekends, and holidays
  • Must be flexible for early mornings, late nights, and occasional overnight shifts based on event schedules
  • Shift lengths will vary and are dependent on event volume and business needs
  • Ability to stand and walk for extended periods
  • Ability to lift and move up to 50 lbs. regularly
  • Comfortable working indoors and outdoors in varying weather conditions
  • Ability to work on multiple surfaces including grass, concrete, and tile
  • This role operates across a variety of event spaces, both indoor and outdoor. Team members will frequently move between locations on property and may work in varying weather conditions. Fast-paced environment with frequent deadlines and high standards of execution.
