Position Summary:

The Banquet Manager is responsible for spearheading the catering sales initiatives and accurately projecting banquet revenue streams. This role encompasses comprehensive operational duties, including the direct oversight of banquet staff to guarantee a consistently high standard of service. The Banquet Manager will collaborate closely with the culinary team to ensure seamless event execution, maintain meticulous records of banquet activities, and implement strategic plans to enhance guest satisfaction and operational efficiency. Additionally, this position involves managing client relationships, coordinating event logistics, and driving efforts to maximize profitability through innovative sales strategies and exceptional service delivery.

Essential Functions:

  • Ensure that once a booking is confirmed, all details and requirements are meticulously noted, including but not limited to the number of covers, assembly points, serving locations, menu specifics, table plans, and entertainment arrangements.
  • Compile duty rosters, ensuring that an adequate number of experienced staff are scheduled to be on duty.
  • Greet the host and circulate during the function to ensure availability in case of any issues or complaints.
  • Inspect the function room and cloakrooms for cleanliness before guests arrive, checking table layouts and specific requirements to rectify any shortcomings.
  • Brief the bar and waiting staff before the function commences.
  • Ensure that surplus equipment is removed and returned to its correct storage place once the function is over.
  • Relay guest letters and comments to the catering manager.
  • Collaborate closely with the sales department to maximize revenue.
  • Maintain written and verbal communication with meeting planners and groups to determine setups, attendance numbers, facility requirements, meal arrangements, and other special needs.
  • Upsell convention and conference service capabilities, contacting clients to offer special amenities and extras to enhance meetings.
  • Guide clients through property limitations.
  • Possess extensive knowledge of hotel features.
  • Understand meeting room setups and A/V requirements.
  • Ensure that all safe food-handling procedures are followed by staff.
  • Ensure the cleanliness of meeting spaces and storage areas before, during, and after functions.
  • Follow proper requisitioning procedures for alcohol and mixers.
  • Create accurate function/catering event bills/invoices for clients.
  • Train, supervise, and monitor staff adherence to alcohol awareness programs such as TIPS.
  • Requisition/order necessary A/V equipment or additional equipment from outside vendors as needed.
  • Maintain and store all A/V and other equipment.
  • Manage the banquet linen inventory, including storage, inventory processes, and pre-staining of linen.
  • Ensure the proper setup of each function.
  • Properly set up and store banquet props, china, silverware, and service ware.
  • Maintain and order banquet disposables and food items within budgeted amounts.
  • Train and supervise staff on proper service standards and hotel or brand guest service standards.
  • Adhere to all work rules, procedures, and policies established by the hotel, including those in the employee handbook.

Secondary Responsibilities:

  • Actively participate within the community to create booking opportunities.

Education and Experience:

  • Previous hotel food and beverage experience.
  • Previous sales/catering experience.
