Job summary

Our client in Miami seeks an AVP, Expense Management to oversee day-to-day expense operations and lead process improvements across T&E and invoice allocation workflows. Reporting to the Managing Director, you will develop staff and drive governance for expense systems.

You will manage a team, improve cycle times, and ensure policy compliance while serving as the trainer and primary contact for T&E allocations and approvals.

Qualifications

• 5+ years in finance, accounting, or expense operations.
• 2+ years in a lead or management role.
• Hands-on experience with expense systems (e.g., Concur).
• Advanced Excel skills including pivot tables and vlookups.

Responsibilities

• Lead day-to-day T&E and invoice allocation operations, ensuring accuracy, timeliness, and policy compliance; serve as escalation point for exceptions.
• Track and report expense status (approvals, aging, bottlenecks) and respond to invoice inquiries with technical guidance.

Job description

Our client, a world-class alternative asset manager, is seeking an AVP, Expense Management to join their team. Reporting directly to the Managing Director, this role will be involved in the day-to-day expense operations, developing staff and leading process improvements across travel & entertainment (T&E) and invoice allocation workflows.

Key Responsibilities:

• Leads day-to-day T&E and invoice allocation operations, ensuring accuracy, timeliness, and policy compliance, and serves as escalation point for exceptions
• Track and report on expense status (approvals, aging, bottlenecks) and fields invoice-related inquiries with technical guidance
• Manage and develop junior staff, setting priorities and ensuring coverage of critical processes
• Act as key POC and trainer for employees on T&E allocation, approvals, and process expectations
• Own expense system administration, troubleshoot and drive process improvement projects to reduce cycle times and enhance user experience
• Ensure invoice costs are properly allocated across the firm's funds
• Oversee allocation governance for select services and identify, escalate, and resolve operational risks

Qualifications:

• 5+ years in finance, accounting, or expense operations, ideally with exposure to asset management or financial services
• 2+ years in a lead, supervisor or management role
• Hands-on expertise with expense systems (i.e. Concur)
• Advanced Excel skills, including pivot tables, vlookups, and reconciliation support
