Job summary

Astreya is seeking an experienced Technical Event Producer to support and operate Audio/Visual systems for our downtown Chicago office, handling in-person, virtual, hybrid, and live stream events across auditoriums, boardrooms, and conference centers.

You will lead AV crews, coordinate with stakeholders, manage show flows, source vendors, plan rehearsals, and ensure seamless event execution from load-in to wrap-up. Travel may be required.

Qualifications

• 3+ years managing audio/video for events and meetings, corporate events preferred.
• 3+ years producing and executing technical elements for in-person, remote, and live stream events.
• Knowledge of current production practices, equipment, and rental costs.
• Willingness to travel domestically and internationally as needed.

Job description

One of Astreya’s key clients is looking for an experienced, enthusiastic, and organized Technical Event Producer to provide event support and manage and operate Audio/Visual systems at their downtown Chicago office. Event locations include corporate auditoriums, boardrooms, and conference centers. This role reports to the Senior Video & Media Production Manager and supports virtual, in-person, hybrid, and live stream events.

Responsibilities

• Collaborate with Vendors, Marketing, Sales, Corporate Communications, Talent & Culture, and Infrastructure to manage production needs for in-person, virtual, and live stream events.
• Work with internal stakeholders regarding event and presentation logistics, production management, and executional delivery.
• Lead technical and AV crews as well as act as show producer and show caller/director.
• Project manage and track tasks and deadlines ahead of in-person and remote events and town halls.
• Project management of: Virtual platforms, technical speaker support, scripts, production schedules, and show flows. Once on-site: assist with AV equipment and staging.
• Assist in the creation of unique and distinct corporate events and town halls.
• Work closely with the Lead Technical Producer to coordinate technical logistics and hire subcontractors when needed.
• Along with the Lead Technical Producer, act as the main stakeholder points of contact for all audio and video production related needs for events
• Collaborate and communicate with internal stakeholders to ensure alignment and execution of event deliverables.
• Help create systems to be used in corporate and external spaces not outfitted with AV broadcast systems.
• Assist with presenter preparation and guidance for successful show execution, when needed.

Qualifications & Requirements

• 3+ years of experience managing audio/video needs for events and meetings; a focus on corporate events preferred.
• 3+ years of experience successfully producing, developing, managing, and executing the technical production elements of in-person, remote, and live stream events.
• Industry knowledge of current production best practices, equipment, and rental costs
• Domestic and international travel and work across time zones may be required.

Core Responsibilities of an Event Technical Producer

• Technical Requirements Gathering
• Meet with stakeholders to understand creative vision, format (live/virtual/hybrid), and tech needs.
• Assess venue capabilities or virtual platform requirements.
• Source and manage AV, lighting, staging, IT/networking, and streaming vendors.
• Specify technical equipment (cameras, projectors, mixers, mics, encoders, etc.).
• Ensure redundancy plans for power, network, and key systems.
• Site Visits & Network Testing
• Conduct site surveys to assess power, rigging, sound, Wi-Fi, and video infrastructure.
• Coordinate with venue IT to confirm bandwidth and IP requirements.
• Run-of-Show / Technical Script Creation
• Develop cue sheets, transition plans, and presenter tech instructions.
• Coordinate load-in/load-out timelines with all vendors and internal teams.

2. Rehearsals & Setup

• Schedule and lead dry runs with presenters and technical crew.
• Train speakers on mics, teleprompters, clickers, and virtual tools (e.g., Zoom, Teams, Webex).
• Equipment Testing & Setup
• Oversee AV and lighting setup, camera placements, cabling, and show control systems.
• Test all presentations, videos, click paths, and backup systems.

3. Live Event Execution

• Production Command
• Call cues for media playback, speaker transitions, lighting/sound changes.
• Manage the control room or virtual production desk (Zoom, vMix, BlackMagic, etc.).
• Troubleshoot real-time issues: mic feedback, frozen video feeds, connectivity drops.
• Crew Management
• Direct audio engineers, camera operators, streaming technicians, and stagehands.
• Ensure everyone adheres to timing and technical flow.
• Virtual Audience Support (if hybrid/virtual)
• Monitor streaming platform health and participant experience.
• Coordinate breakout rooms, polls, Q&A, and platform moderation.

4. Post-Event Wrap-Up

• Strike & Equipment Return
• Supervise teardown of equipment and loading out of gear.
• Ensure rented gear is returned, internal assets are accounted for.
• Technical Postmortem
• Debrief with crew and stakeholders: what went well, what needs improvement.
• Document lessons learned and update templates or procedures.
• Media Management
• Ensure recordings are archived, edited, and shared appropriately.
• Back up assets to storage or shared drives.
• Budget Reconciliation
• Track final vendor costs, submit invoices, and align with event producer on reconciliations.

5. Strategic Collaboration on AV Standards

• The Technical Producer works closely with the AV Engineering team to help define and evolve scalable AV production standards across new and existing office locations—particularly in the design of town hall and all-hands spaces. This includes advising on equipment selection, control systems, camera placement, and acoustics to ensure consistency in production quality and supportability.
• By bringing live event execution experience into the planning process, the Technical Producer helps shape spaces that are not only technically sound but also operationally efficient for high-impact, repeatable events.
