The Auxiliary Groups Coordinator is a key position on the Individual Giving team, offering support for the Institutional Advancement department as a whole, with a special focus on the activities related to the Museum’s two fundraising auxiliaries: the Women’s Board and Field Associates (young professionals group). Reporting to the Auxiliary Group Senior Manager, this role will assist with administrative duties to help run an efficient office that supports the fundraising efforts and civic involvement of these important donor communities. The duties of the Coordinator may include, but are not limited to, the following:

Duties And Responsibilities

  • Meeting scheduling, maintaining physical and electronic records, managing an efficient office environment, ordering supplies
  • Generate gift acknowledgment letters
  • Assist with gift processing (e.g., gift and pledge tracking, financial reconciliation, preparing donor invoices, honor rolls, “in honor of” gift notices, etc.)
  • Manage pre- and post-administration of annual Women’s Board and Field Associates fundraising events (e.g., donor invoices, tracking guest information and seating, financial reconciliation, vendor communications, event collateral, press releases, thank you notes, honoree video filming).
  • Interact regularly with Women's Board and Field Associates members, greeting guests, taking calls, and escorting donors to areas within the Museum
  • Draft Women's Board and Field Associates communications and manage accurate contact records (e.g., mass mailings and emails for solicitations and renewals, event invitations, newsletters)
  • Monitor and respond promptly to all Women’s Board and Field Associates email and phone inquiries
  • Assist with tracking and executing governance and recruitment strategies for the Women's Board and Field Associates
  • Coordinate needs, draft remarks, and manage materials for Women's Board and Field Associates Board and Executive Committee meetings
  • Support Women’s Board and Field Associates committee activities (e.g., scheduling committee meetings, preparing materials, working events as needed)
  • Ensure completeness and accuracy of member records (e.g., in the Raiser's Edge database, Board Directory, contact lists, physical files)
  • Other duties as assigned

Qualifications

  • Bachelor's degree is required
  • 1-2 years of meeting/event support and administrative experience required
  • Background in fundraising or non-profit administration preferred
  • Excellent oral and written communication skills required. Must be able to work on multiple projects simultaneously and meet short deadlines. Strong organizational skills and attention to detail are critical
  • Congenial and diplomatic interpersonal skills are critical to ensure successful interactions with constituents
  • Experience with Microsoft Word, Excel, and PowerPoint is required. Prior work with Raiser's Edge is strongly preferred. Familiarity with MailChimp and lnDesign or similar email and publishing tools is preferred
  • Discretion is required in handling highly confidential financial information
  • Proven ability to work independently and take ownership of assignments and projects
  • Flexibility to work occasional overtime and evening events is required

Pay: $44,000-46,000/annually
