Automotive Fleet Service Advisor (Transportation)



JOB PURPOSE

Our Fleet Service Advisors are responsible for optimizing revenue by managing Spiffy's repair services, ensuring accurate data entry, billing, and repair tracking. This involves communicating with technicians and operations managers, managing the Spiffy Repair Board, and monitoring Repair Orders in third-party FMC software. Service advisors also coordinate with fleet customers post-diagnostics, schedule follow-ups, negotiate labor rates, and handle warranty claims.

Hours: M-F 9 a.m.-6 p.m. EST, with flexibility for outside hours based on business needs

Compensation: $55k/year

Variable Compensation: Up to $10,000 based on meeting company goals

ESSENTIAL FUNCTIONS:

  1. Communicate with Operations and Technicians, check the Repair Schedule, and submit Repair Orders as needed
  2. Discuss diagnostics with technicians, update Operations, and communicate with fleet clients
  3. Update, monitor, and respond to Repair Orders
  4. Schedule follow-up repairs post-diagnostics and submit Repair Orders accordingly
  5. Submit warranty claims to providers and manufacturers
  6. Audit and update the Spiffy Repair Board
  7. Coordinate with Accounting on invoice adjustments
  8. Identify technological improvements and process efficiencies, proposing solutions
  9. Work as part of the Service and Repair Specialist Team, reporting to the Director of Fleet Account Management

EXPERIENCE:

  • At least 1 year of professional Service Writing or Service Advisor experience, or equivalent automotive experience
  • Proficiency with Excel or Google Sheets and data entry
  • Adaptability and eagerness to learn
  • Ambitious self-starter
  • Basic understanding of automotive systems and repairs
  • Ability to read service manuals and bulletins
  • Excellent communication skills
  • Strong attention to detail and organization
  • Problem-solving skills and multitasking ability

WORKING CONDITIONS:

This remote role requires a dedicated home office with reliable internet, professional video setup, and a quiet environment. Standard hours are during business hours with core team meetings. Availability for occasional early/late meetings across time zones is expected. The role involves maintaining secure network connections, complying with data policies, and working independently. Travel to local CBU may be required.

PHYSICAL DEMANDS:

Includes extended screen time, ability to distinguish colors, focus on detailed work, use of office equipment, and maintaining ergonomic setup. Physical endurance and mobility are necessary to set up and maintain a home workspace, with occasional lifting up to 20 pounds.
