  • Experience with AHCCCS/DDD or insurance funding preferred.
  • Proficient with Microsoft Office and EMR systems.

Job description

SCHEDULE: Full‑time. The anticipated schedule is M‑F 7 am‑3 pm. COMPENSATION: Starting pay range $23‑$26 per hour DOE + Scheduled Raise Program. LOCATION: East Valley Center, Mesa, AZ.

Job Duties
  • Assist program leaders in maintaining optimal client enrollment.
  • Coordinate daily schedule changes to avoid gaps in services.
  • Arrange room assignments for clients and communicate with staff.
  • Maintain up‑to‑date appointment information in practice management systems.
  • Work with the supervisor to monitor and optimize authorization utilization.
  • Attend meetings to plan for scheduling, utilization, and staff or client onboarding/off‑boarding.
  • Initiate onboarding activities for all new clients.
  • Maintain regular contact with onboarding families and follow up until all items are collected.
  • Perform data entry tasks to prepare new clients to begin services.
  • Collaborate with Family Support, Billing, and Clinical Teams to coordinate the start of services.
  • Communicate and collaborate with clients and staff to provide high‑quality service coordination and resolve challenges efficiently.
  • Participate in follow‑up processes to ensure families and staff are adequately supported.
  • Work with the Administrative, Program, and Outreach Teams to improve systems related to scheduling and staffing.
  • Support clinical staff as needed (e.g., bring materials, allow bathroom breaks).
  • Answer phones, provide information, route calls, take messages.
  • Coordinate clinic tours for new clients with the Senior Clinical Supervisor.
  • Open and close the clinic on scheduled days.
  • Provide front‑desk coverage when other staff are absent.
Experience & Qualifications
  • High school diploma or GED required; college degree or equivalent preferred.
  • Minimum of 1 year in a similar administrative role.
  • Administrative experience with funding sources such as AHCCCS, DDD, or insurance preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills with tact and perspective across diverse populations.
  • Ability to multi‑task, prioritize and independently plan daily workloads.
  • High competence with Microsoft Office (Outlook, Teams, etc.) and EMR systems.
  • Knowledge of autism spectrum disorders, systems of care, and related treatments preferred.
  • Must pass a fingerprint clearance check and other hiring requirements.
  • Must have reliable transportation, valid car insurance, and registration.
