Job summary

Littler, the global employment and labor law firm, seeks an Attorney Practice Coordinator in Washington, DC, with a hybrid work schedule (in-office 3 days/week). The role supports multiple attorneys, manages calendars and billing, and ensures timely litigation document handling.

Requires extensive knowledge of state and federal judicial systems and agency procedures, superb time management, and strong communication skills. Salary ranges with performance bonuses are provided.

Qualifications

  • Minimum 10 years of experience as a litigation secretary.
  • Highly organized with the ability to support multiple attorneys’ practices and coordinate multiple tasks.
  • Strong time management to prioritize and anticipate needs.
  • Proactive in identifying and executing tasks related to case timelines.
  • Excellent written and verbal communication with internal and external parties.
  • Expertise with TOC/TOA creation using Best Authority.
  • Extensive knowledge of court rules and ECF procedures.
  • Proficient with MS Office, Outlook and Adobe.
  • Experience with NetDocuments and document management systems.
  • Proficient in Forte for creating compliant legal documents and correspondence.
  • Knowledge of legal terminology.

Responsibilities

  • Coordinate attorney support through the Attorney Resource Team and other departments.
  • Submit accurate and complete materials with instructions and documentation.
  • Communicate with case teams to avoid duplicate requests.
  • Verify court deadlines and alert attorneys.
  • Create and update litigation matters in Virtual Binder.
  • Prepare TOCs and TOAs accurately and on time.
  • Coordinate and finalize documents for filing with courts or agencies and for service.
  • E-file documents per applicable rules.
  • File in NetDocuments timely and correctly.
  • Create and submit New Client Matters (NCM) per firm standards.
  • Coordinate transcription of audio recordings.
  • Coordinate printing and assembly of documents with office services.
  • Maintain attorney contact lists in Outlook and InterAction CRM.
  • Submit daily task logs detailing projects and assignments.
  • Review and revise client pre-bills as needed.

Job description

The Attorney Practice Coordinator coordinates and performs high level tasks to support multiple attorneys’ practices. Requires excellent time management, communication and organizational skills. Requires extensive knowledge of state and federal judicial systems, and agency procedures in labor and employment law.

This position is resident in Washington, DC, and follows a hybrid schedule working in-office 3 days per week.

Pursuant to Maryland and Washington, DC regulations, the salary for this position is $45.19–$58.27 hourly and includes eligibility for performance-based bonuses. Factors which may affect starting pay within this range may include geography/market, skills, education, experience and other qualifications of the successful candidate. Responsibilities
  • Responsible for coordinating attorney support from Attorney Resource Team and other corporate departments including calendar and billing teams.
  • Responsible for accurate and complete submissions to Attorney Resource Team, including thorough instructions and documentation.
  • Responsible for communicating with case team to ensure that duplicate requests are not submitted to Attorney Resource Team.
  • Responsible for verifying court and other deadlines and alerting attorneys.
  • Responsible for creating and updating litigation matters in Virtual Binder.
  • Responsible for accurate and timely creation of Tables of Contents (“TOCs”) and Tables of Authorities (“TOAs”).
  • Responsible for coordinating and finalizing documents for filing with courts or administrative agencies, and service upon other parties.
  • Responsible for e-filing documents with courts and agencies in accordance with applicable rules.
  • Responsible for timely and properly filing in NetDocuments.
  • Responsible for accurately creating and submitting New Client Matters (“NCM”) within firm standards.
  • Responsible for coordinating transcription of audio recordings.
  • Responsible for coordinating the printing and assembling of documents with office services personnel.
  • Responsible for maintaining attorney contact lists through Outlook and Client Relationship Management system (i.e., InterAction).
  • Responsible for timely submission of daily task log identifying projects and assignments.
  • May be responsible for reviewing and revising client pre-bills.
Qualifications

  • Demonstrates advanced knowledge and proven expertise using Best Authority to produce Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Possesses extensive knowledge of court rules and ECF procedures.
  • Demonstrates proficiency in using MS Office, Outlook and Adobe.
  • Experience with document management systems (i.e., NetDocuments).
  • Demonstrates expertise in Forte to create compliant legal documents and correspondence.
