Job Description Summary
Oversees the intercollegiate athletic program, the college intramural program, athletic fundraising, and all budget-related functions for this department, under the supervision of the Vice President for Student Affairs. Ensures compliance with all NJCAA and institutional rules and regulations. Coordinates the use of all college athletic facilities by both campus and community groups. Maintains an inventory of equipment and supplies sufficient to support all college athletic and instructional programs within the division.
Minimum Qualifications
- Bachelor’s degree required.
- Four years of full-time experience in athletics administration required.
- Minimum of two years of supervisory experience.

Essential Duties
- Recommend to the Vice President for Student Affairs the hiring and assignment of varsity athletic coaches consistent with the needs of each sport, within the framework of college policies and procedures.
- Prepares, monitors and maintains the NJCAA eligibility documentation for all student athletes.
- Ensures compliance with all pertinent NJCAA , Region 20 and Maryland JUCO regulations and bylaws.
- Prepares the annual Students Right to Know and Title IX federal reports, as well as, as all state and internal reports for the department.
- Oversees recruitment, training, onboarding, and performance evaluation of all Athletics Department staff and varsity coaches, ensuring compliance with NJCAA regulations and a strong focus on student-athlete success.
- Responsible for the appropriate execution of functions of the Athletic Trainer, Sports Information Specialist, and Operations staff
- Approves and supervises all varsity athletic fund-raising activities; maintains an accurate accounting of these funds in the varsity athletic fund-raising account.
- Coordinates the determination and application of scholarship funds for student-athletes
- Coordinates the logistics associated with all athletic competitions, including the size of athletic squads, the length of practice sessions, team travel, meals and lodging, as well as arrangements for Regional 20 Tournaments hosted by the college (providing the officials, award of trophies, assignment of team rooms, Proper preparation of athletic fields and the field house).
- Develops and implements policies for the Athletics department considering risk management to ensure the safety and security of student-athletes
- Prepares for the Vice President for Student Affairs’ review and approval purchase orders for athletic supplies and equipment required to support these teams and instructional programs
- Prepares the annual operating budget for the intercollegiate athletic and intramural programs for approval of the Vice President for Student Affairs
- Prepares reports required for the various athletic programs for the college.
- Coordinates in collaboration with TLSS , Events Management and Facilities the use of all college athletic facilities by campus and community groups
- Coordinates with Facilities leadership the planned and regular maintenance of athletic fields of play and the Novak Field House.
- Represents the college at meetings of the Maryland JUCO and Regional 20 associations as required. Contributes effectively to the work of these associations.
- Ensures the promotion and visibility of the athletic programs through effective marketing, branding and engagement strategies
- Maintains up-to-date knowledge of emerging trends in collegiate athletics and incorporates best practices
- Fosters an inclusive and equitable athletic environment aligned with the college’s diversity and equity goals
- Develops long-term strategic plans for the growth and improvement of intercollegiate athletics.
- Serve as a Campus Security Authority ( CSA ) by complying with the Clery Act and reporting crime-related information
- Performs other related duties as assigned.
Skills
KNOWLEDGE , SKILLS AND ABILITIES
- Knowledge of NJCAA rules and regulations.
- Knowledge of NCAA sports rules and by-laws.
- Experience supervising athletic events.
- Experience coordinating athletic events, practices and special events.
- Knowledge and experience with Microsoft Office suite and a student information database system.
- Ability to plan and organize work for maximum efficiency with attention to details and follow-up.
- Ability to function effectively within, and contribute positively to a diverse multi-ethnic, multi- cultural student population and campus environment.
- Ability to communicate effectively in spoken and written standard English.
- Ability to perform detailed work independently, as well as, in a team environment.

PHYSICAL REQUIREMENTS
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.
Special Requirements
- Must have a valid driver’s license without any restrictions that would prohibit college insurance coverage.
- Must be able to work flexible hours including nights and weekends.
- Ability to communicate effectively in spoken and written standard English.
- As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
