You role:

The Senior Executive Assistant serves as a trusted business partner to the Vice President, Global CCS Operations and Head of Service, UCAN, providing high-level executive support across both global manufacturing, supply chain, and procurement, as well as a large US & Canada service network. This role supports strategic priorities and leadership activities spanning operations sites in across US & Canada, as well as Monterrey, Saalfeld, and Pluvigner.

The position requires exceptional organizational capability, executive presence, business acumen, discretion, and the ability to anticipate needs while operating effectively in a fast-paced, highly matrixed global environment.

The Senior Executive Assistant is expected to function as an extension of both leadership roles, helping drive efficiency, alignment, communication, and execution across the organizations. The role builds upon responsibilities commonly found in Baxter Executive Assistant positions, including executive support, leadership coordination, communications, presentations, travel management, and administration of confidential information.

What you'll be doing:
  • Provide high-level executive administrative support to the VP, Global CCS Operations, including complex calendar management across global time zones.
  • Coordinate domestic and international travel, including itineraries, visas, logistics, expense reporting, and departmental administrative budgets.
  • Organize and support leadership meetings, off-sites, operating reviews, and strategic planning sessions, including agendas, materials, minutes, and action-item tracking.
  • Prepare and coordinate executive-level presentations and materials for business reviews, talent reviews, Town Halls, leadership forums, earnings support, and Board-level discussions.
  • Draft executive communications and serve as a key liaison with senior leaders, site leadership, customers, and internal and external stakeholders.
  • Facilitate cross-functional communication and collaboration across manufacturing, supply chain, procurement, quality, engineering, and commercial teams.
  • Coordinate global leadership and customer visits, audits, strategic workshops, employee engagement activities, and change management initiatives.
  • Support enterprise initiatives and special projects, including operational excellence, digital transformation, talent processes, and business integration, while maintaining dashboards, reports, databases, and documentation.
  • Must be willing to travel up to 5%.
What you'll bring:
  • Associate’s or Bachelor’s degree preferred; equivalent relevant administrative experience will be considered.
  • 5+ years of executive administrative support experience, including supporting Vice President-level leaders or senior executive teams.
  • Experience within global manufacturing, operations, supply chain, healthcare, or other highly regulated environments preferred.
  • Proven ability to support geographically dispersed leadership teams and operate effectively within a complex, matrixed global organization.
  • Exceptional written and verbal communication skills, with strong executive presence, professionalism, and discretion when handling confidential information.
  • Advanced proficiency in Microsoft Office, including Outlook, Teams, PowerPoint, Excel, and Word.
  • Exceptional organizational, project management, and event coordination skills, with the ability to independently manage multiple priorities and exercise sound judgment.
  • Proactive, trusted business partner who anticipates executive needs, creates leadership capacity, builds strong cross-functional relationships, and demonstrates business acumen within manufacturing, supply chain, and operations.

At Baxter, we are committed to equitable pay for all employees, and we strive to be more transparent with our pay practices. The estimated base salary for this position is $60,000.00-$82,500.00 annually. The estimated range is meant to reflect an anticipated salary range for the position. We may pay more or less than of the anticipated range based upon market data and other factors, all of which are subject to change. Individual pay is based upon location, skills and expertise, experience, and other relevant factors.
