Job description

Position Summary

The Association Accountant is responsible for performing daily accounting and bookkeeping functions that support the financial operations of the property management business. This position manages financial transactions, reconciles accounts, processes of invoices and payments, and prepares financial reports for multiple associations and communities.

The Association Accountant ensures accuracy, transparency, and compliance in all financial activities while maintaining organized financial records. This role works closely with Property Managers, Board Members, vendors, and the Accounting Manager to maintain accurate financial information and timely reporting.

Essential Duties and Responsibilities

The responsibilities listed below represent the primary duties of the position. Additional duties may be assigned as needed.

Accounting and Financial Transactions
  • Maintain monthly, quarterly, and annual accounting deadlines across multiple association accounts.
  • Post owner payments and miscellaneous income accurately.
  • Generate bank deposits for all posted receipts.
  • Apply scheduled charges to owner accounts.
  • Process late fees and interest for delinquent accounts when applicable.
  • Monitor association account balances to prevent overdrafts.
Accounts Payable
  • Process invoices daily using the accounting system .
  • Ensure invoices are coded correctly to appropriate expense accounts.
  • Prepare check batches twice per month or as required.
  • Submit processed checks to the Property Manager for review and approval.
  • Ensure checks are signed according to association authorization requirements.
Owner and Association Account Management
  • Print and distribute billing statements including quarterly assessments, annual coupons, and special assessments.
  • Process warranty deeds for new property owners and update account records accordingly.
  • Complete estoppel requests as requested by the Sales and Lease Department.
  • Communicate with homeowners regarding billing inquiries, address updates, and payment procedures.
  • Coordinate with the Board and Property Manager regarding delinquent accounts and potential collections or lien placement when necessary.
Financial Reporting and Reconciliation
  • Reconcile all bank accounts monthly.
  • Post recurring monthly and quarterly journal entries.
  • Prepare and distribute accurate monthly financial statements in accordance with association requirements.
  • Verify key financial data and balances for accuracy.
  • Monitor association CD investments and ensure the balance sheet reflects accurate maturity dates and interest rates.
Year-End and Audit Support
  • Participate in quarterly and annual audit preparation.
  • Prepare tax packets and financial records for CPA review.
  • If payroll processing is required, assist with quarterly tax reports and W-2 preparation.
  • Close year-end books and initiate new fiscal year setups.
  • Enter approved budgets into the accounting system.
Communication and Coordination
  • Communicate regularly with vendors, Property Managers, Board Members, and internal team members.
  • Request developer subsidies when necessary to maintain association funds.
  • Assist with updating bank signature cards and financial resolutions when required.
  • Provide support to the Accounting Manager on special financial projects when needed.
Minimum Qualifications
Education and Experience
  • Proven experience as an Association Accountant, Accounting Assistant, or similar accounting role.
  • Bachelor's degree in accounting, Finance, or related field preferred, or equivalent work experience.
Knowledge and Skills
  • Strong understanding of basic bookkeeping procedures and financial reporting.
  • Proficiency in Microsoft Excel and accounting software (QuickBooks, AppFolio, or similar systems preferred).
  • Excellent mathematical and analytical skills with strong attention to detail.
  • Strong organizational and time management skills.
  • Effective written and verbal communication skills.
Abilities
  • Ability to work independently while maintaining collaboration with team members.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Ability to handle confidential financial information with discretion and professionalism.
Physical Requirements
  • Ability to lift up to 10 pounds occasionally.
  • Frequent use of computers, keyboard, and office equipment.
  • Ability to sit or stand for extended periods of time while performing accounting tasks.
