Job summary

ProHealth Care is seeking an Associate Patient Care Coordinator to support patient care delivery in the Emergency department, admitting, switchboard, and information desk areas. This on-site role includes 6–8 weeks of paid training, with training hours determined on schedule.

The position requires strong communication, confidentiality, and Microsoft Office proficiency, plus ability to work 3:00pm–11:00pm on a rotating schedule. External candidates receive a sign-on bonus.

Qualifications

  • High School Diploma/GED or 5+ years of office-based customer service experience.
  • 1+ years of customer service in a medical office setting.
  • Intermediate Microsoft Office proficiency.
  • Ability to work 3:00pm–11:00pm on listed days.
  • Must be 18 years or older.

Responsibilities

  • Greets visitors and patients in person.
  • Communicates by telephone or video with excellent customer service.
  • Protects confidentiality of information.
  • Follows Switchboard departmental processes.
  • Prioritizes by assessing information to identify immediate emergency needs.
  • Maintains physician on-call schedules and communicates with ProHealth Care Physicians.
  • Enters and updates patient demographics and financial information.
  • Obtains applications and forms; ensures signatures are on file.
  • Coordinates with Financial Counseling, Scheduling, Financial Clearance and clinical areas.
  • Provides wayfinding and hospital information as requested.
  • Coordinates patient admission needs and bed assignments.
  • Meets audit accuracy standards and resolves issues from worklists.
  • May perform other duties upon request.

Supports patient care delivery in Emergency department, admitting, switchboard, and information desk areas.

We offer 6-8 weeks of paid training. The hours of the training will be based on schedule or will be discussed on your first day of employment. Training will be conducted on-site.

Primary Responsibilities:

  • Greets visitors and patients in person
  • Communicates by telephone or video conferencing, upholding excellent customer service
  • Handles confidential information appropriately by protecting and disclosing information to only those authorized
  • Understands and follows all Switchboard departmental processes implemented
  • Prioritizes by assessing and analyzing information to identify immediate emergency needs
  • Demonstrates technical knowledge and competence in the departmental procedures and maintains current physician on-call schedules to ensure appropriate communication to ProHealth Care Physicians
  • Enters and updates patient demographic and financial information, ensuring the patient is fully registered as early in the process as possible
  • Obtains appropriate applications and forms, confirming signatures are on file. Photocopies/scans documents as needed
  • Provides patients with financial responsibility information and collects patient liabilities, documents amount in the appropriate fields, and balances the cash box daily
  • Works with partnering departments (Financial Counseling, Scheduling, Financial Clearance, and clinical areas) to ensure all aspects of the patient's encounter are completed as needed
  • Provides wayfinding instructions and assists with hospital information as requested
  • Coordinates patient admission needs, bed assignments, and tracking boards where applicable
  • Meets or exceeds audit accuracy standards. Works worklists and error reports timely, and proactively seeks assistance to resolve as needed
  • May perform other duties upon request

Required Qualifications:

  • High School Diploma/GED OR 5+ years of customer service experience in an office setting or professional work environment
  • 1+ years of customer service experience in a medical office setting
  • Intermediate level of proficiency with Microsoft Office products
  • Ability to work from 3:00pm - 11:00pm on the following days:
    • Week 1: Sunday, Tuesday, Wednesday & Thursday
    • Week 2: Monday, Wednesday, Thursday, Friday & Saturday
  • Must be 18 years or age OR older

Preferred Qualifications:

  • Experience working in an Emergency Department
  • Experience with electronic medical records system
  • Experience in a medical office or hospital admitting/registration office
  • Knowledge of medical terminology

Soft Skills:

  • Excellent written and verbal communication skills
  • Demonstrated ability to work in fast paced environments
