THE ROLE
ADVOC8 is searching for a versatile, self-motivated Associate Producer who is excited about experiential event logistics and planning. From event conception to execution, this person will be involved in every part of the planning process, supporting the lead event Producer and / or owning workstreams and leading selected projects. They are detail-oriented and care deeply about ensuring that our clients always have a positive experience. Comfortable with collaboration across internal teams, vendors, and partners, this is an excellent next step for someone who has a solid start with their career in event production and is ready for additional growth.

Responsibilities
Project Management
- Support the lead Producer by leading a workstream from concept to execution or lead projects, as applicable
- Participate in or lead internal and client meetings
- Identify venues, vendors and partners; secure proposals/estimates and present for approval; manage relationships (when assigned)
- Support (and take ownership when assigned) in maintaining and organizing all necessary project documentation across workstreams including:
- Workback timeline
- Staffing plan
- Production schedule
- Budget matrix (internal and external if needed)
- Production deck
- Creative deck
- Meeting agendas
- Meeting notes
- Contracts and deal memos
- Inventory trackers
- Asset lists
- Recap decks
- Schedule internal and external calls and meetings (as assigned)
- Participate in site visits and walk-throughs as needed
- Support project AP finance operations, through expense tracking and documentation
- Serve as a member of the onsite event/ production team
- Support project close out
Creative Collaboration
- Take advantage of opportunities to participate in ideation and development of creative and strategy
Professional Development
- Stay up-to-date on industry trends, experiences, events, and technology
Skills & Qualifications
- 2-4 years of experience in the experiential production industry or a closely-related field; previous brand or agency experience is strongly preferred
- Strong problem-solving skills with the ability to anticipate challenges and find creative solutions
- Strong communication skills, detail-oriented, organized and efficient
- Ability to balance multiple projects and meet deadlines
- Enjoys research and is willing to put in the extra effort to solve challenges
- Client facing professionalism, collaborative, self-motivated, and proactive with a positive, solutions-oriented mindset
- Proficiency in Google Suite, Microsoft PowerPoint, Microsoft Word, and Acrobat. Proficiency in project management and time tracking tools such as Monday.com and Harvest a plus
- Can work flexible hours including some nights and weekends
- Is comfortable traveling 30% or more locally, nationally, and internationally
- On site physical demands:
- Ability to remain in a stationary position for an extended period of time
- Ability to lift and/or move boxes and equipment up to 50 lbs. (with assistance)
- Ability to position self under tables or stages, and/or lower self to floor
- Ability to manage priorities and adhere to deadlines
- An interest in brand storytelling, audience engagement, and experiential marketing strategies

We have transitioned from a once Washington D.C.-based agency to being Washington, D.C.-born. This position is not location-based, though travel will occasionally be required for project work and team offsites. Candidates must be legally authorized to work in the U.S.; at this time, we are not able to provide sponsorship.
