Job Summary
The Associate Director, Principal Gifts Strategy and Communications is responsible for performing complex and diverse responsibilities in support of fundraising goals for the Chicago Booth Advancement. Reports to Senior Director, U.S. and Global Individual Giving, and takes direction from other members of the Principal Gifts team.
Coordinates the advancement activity of the Dean and Deputy Dean and the outreach of the Dean’s office to donors and prospects, manages briefing and debriefing process for all visits completed by the Dean and Deputy Deans. Guarantees the accuracy of all prospect related information in the Phoenix Connection Center (PCC), the University’s alumni database, serve as a power user of the database, assists the work of the Booth Advancement’s prospect management team, and generates reports to track and guide the office’s work with principal gift prospects. Helps gift officers effectively utilize Booth leadership to help meet fundraising goals.
Proactively provides information to Principal Gift team members, directs calls and other relevant information to appropriate individuals while using discretion and judgment with confidential information. Develops a network of internal contacts and provides advisory assistance to other Booth and University offices that seek it. Encouraged to initiate projects that will be beneficial to the Advancement Team and expected to anticipate next steps and follow-up related to fundraising activity and active prospect management at the Principal Gift level. Assists in the training of Development Associates on the Major Gifts team with regard to the briefings process.
Responsibilities
- Coordinates the activity of the Principal Gifts team, particularly in relation to the Dean and Deputy Dean’s work with prospects and donors. Serves as a secondary moves manager to facilitate, organize, and execute fundraising activities for principal gifts officers.
- Acts as main contact and liaison for gift officers with the Dean’s Office; manages the scheduling, briefing, and debriefing process with the dean. Organizes the dean’s travel for development and manages itineraries, assists with agendas and materials for gift officers, deans, and Chicago Booth leadership. Participates in strategy development.
- Writes briefings, acknowledgements, special greetings, and one-pagers created for specific audiences such as a donor or prospective donor, family foundation, or volunteer solicitor. Ensures the timely production and transmittal of the dean’s correspondence with principal gift prospects.
- Acts as a project manager for proposals and other written documents, and coordinates with the Centers team and Marketing and Communications.
- Leads the production of briefings for leadership and principal gift officers, with support from Research.
- Helps manage and refine recognition and stewardship with the Donor Relations team.
- Helps drive strategy for engagement and cultivation for the school’s top 100 prospects.
- Manipulates and analyzes data to integrate information from PCC and other databases into various reports/summaries. Creates reports related to alumni and prospects; assures appropriate information is captured in all applicable donor files and in PCC.
- In collaboration with the Prospect Management team, shares relevant reports to assist gift officers in active prospect management. Updates PCC by creating prospect actions and maintaining solicitation data, strategy, and next steps.
- Establishes fundraising goals and priorities based on department objectives, designs strategies to meet those goals, and monitors progress against goals.
- Works with Senior Leadership, Officers and Deans to design strategic objectives and action steps that will lead to the successful realization of these projects.
- Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include a college or university degree in related field.
Work Experience:
Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

- Bachelor’s degree or higher.
Experience:
- A minimum four years of work experience in nonprofit management, development, alumni relations, marketing, public relations, or similar field.
Technical Skills or Knowledge:
- Demonstrated skill and knowledge of, or ability to quickly learn the internal workings of the University and the technology tools available to Chicago Booth staff, including Microsoft Windows, Microsoft Outlook, Word, Excel, PowerPoint and Access.

Working Conditions
- This position is currently expected to work a minimum three days per week in the office.
- Work occasional evenings and weekends.
