Job summary

The Associate Director of Business Services at COD partners with the Director of Finance and Operations to uphold financial integrity, regulatory compliance, and service quality across facilities and resources. Responsibilities include procurement, fleet management, audit support, payroll oversight, and Medicaid billing.

The role requires a Bachelor’s degree in finance, accounting, or business administration, with five years of relevant experience; an MSA is preferred.

Qualifications

• Bachelor’s degree in finance, accounting or business administration required.
• MSA degree preferred but not required.
• Minimum of five years of progressively responsible experience in finance, accounting or operations.
• GAAP knowledge as applied to nonprofit organizations.
• Experience with Medicaid billing, government-funded programs, grants and reimbursements preferred.
• Experience supervising staff.
• Strong budgeting, financial reporting, internal controls and compliance knowledge.
• Strong analytical, organizational, communication and problem-solving skills.
• Proficiency with Microsoft Office, Excel, accounting software and electronic billing systems.
• Excellent organizational and communication skills.
• Ability to handle multiple tasks, delegate work and meet deadlines.
• Valid Illinois Driver’s license, clean driving record and vehicle insurance.
• Experience working with organizations serving individuals with disabilities preferred.

Responsibilities

• Partner with Director of Finance and Operations to ensure financial stability and regulatory compliance.
• Oversee facilities management and safety procedures; coordinate fleet management.
• Lead procurement and vendor negotiations; build strong relationships with vendors and internal teams.
• Prepare audit reviews and required reports for PACE and program management.
• Monitor payroll in Director’s absence and oversee Medicaid billing and revenue.
• Assist employees with benefits questions and enrollment procedures.
• Support budgeting, internal controls and compliance efforts.
• Manage multiple duties and ensure timely completion of tasks.
• Lead and supervise staff; drive service quality and efficiency.
• Perform other duties as assigned.

Job description

The Associate Director of Business Services serves as a key administrative and operational partner to the Director of Finance and Operations and contributes to the organization’s financial stability, regulatory compliance, service quality, facility safety and effectiveness, and the reliable management of organizational vehicles and physical resources.

Key responsibilities include:

• Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management.
• Strong procurement and negotiation skills.
• Excellent organization, communication, and problem-solving skills.
• Create and manage a fleet management process to ensure the safety and proper maintenance of PACE and program management records.
• Coordinate and prepare all required documents and reports for PACE, including audit reviews.
• Maintain a strong customer-service mindset andbuild positive relationships with vendors, contractors, and internal teams.
• Assists in preparing annual audits and financial reviews and gathers all reporting information.
• Monitors and processes payroll in the Director of Finance Operations' absence.
• Monitors and oversees Medicaid billing and revenue.
• Assists employees with benefit questions, enrollment procedures, required documents, and available resources.
• Other duties as assigned.
