Overview

The Client Operations department manages client-specific operational tasks across practice areas, working closely with Strategy, Investment, HR, Finance, Invoice Reconciliation, and Agency Administration & Compliance. We centralize and standardize fundamental work and find smarter, faster ways of working. We create a space for highly organized problem-solvers, providing a critical foundation for the agency.

The Associate Director, Client Operations will work across well-known clients, with tremendous learning potential and high visibility. Responsibilities include training and developing team members in media systems and processes related to Invoice Reconciliation, Platform Tax, and Vendor Payment Requests, leading vendor invoice processing, and ensuring timely completion of tasks. This role requires mastery of current media systems, understanding of policies and procedures, and proven success in these areas.

Responsibilities
  • Oversee invoice clearing process across clients
  • Collaborate with Director on team roles, responsibilities, and project prioritization
  • Manage workload of Supervisors and Senior Associates
  • Lead career development through training and coaching
  • Proactively solve problems and improve efficiencies
  • Maintain positive relationships with agency contacts, vendors, and internal teams
  • Guide media contacts through reconciliation processes
  • Lead key processes involving multiple agency teams
  • Respond to urgent issues via email after hours when necessary
  • Review work in progress and address issues
  • Identify and resolve process issues
  • Escalate issues as needed to meet deadlines
  • Provide regular reporting on open items and other metrics
  • Act as primary contact with vendors for reporting and payment issues
  • Participate in system training and testing
  • Handle high-profile or sensitive client reconciliations
  • Support the Director with special projects and client interactions
  • Coordinate with peers on account-specific requests
Qualifications
  • 5+ years in operations, reconciliation, or similar roles, preferably in media or advertising agencies
  • Experience with MediaTools and Prisma/MediaOcean
  • Proficiency in Microsoft Office, especially Excel (vlookup, pivot tables, formulas)
  • Strong quantitative, analytical, and problem-solving skills
  • Ability to adapt in a fast-paced environment
  • Team-oriented with the ability to meet deadlines independently
  • Excellent organization, attention to detail, and time management
  • Strong relationship-building and communication skills
  • Ability to teach others and share knowledge
