The Women's Equality Center complements and strengthens the work of organizations in Latin America and the Caribbean to develop long-term and big-picture messaging frameworks around emerging issues and political opportunities linked to reproductive freedom and justice.

The Women's Equality Center (WEC) provides strategic communications and campaign support to the reproductive health, rights, and justice field at all levels, complementing and strengthening the work of organizations in Latin America and the Caribbean via grants, integrated policy and communications campaigns, and rapid-response operations. La WEC currently operates across 8 countries in Latin America and the Caribbean: Mexico, Brazil, Colombia, Honduras, the Dominican Republic, Argentina, Chile, and El Salvador, in addition to other regional work.

About the Position
What You'll Do

As an Operations team member, the Associate Director, Administration and Finance (Associate Director) will serve as an operational liaison and financial expert working closely with WEC's teams, New Venture Fund (our fiscal sponsor), and our partners across Latin America and the Caribbean.

The Associate Director will have three key areas of responsibility:

  1. Managing the full lifecycle of the contracts process (including grants and vendor engagement). The Associate Director will oversee the logistics of budget spend down, reconciliation, and invoicing.
  2. Providing technical and operational support, in English and Spanish, to WEC's internal project teams and on-the-ground partners ensuring fiscal and legal compliance while also providing broader advice and best practices.
  3. In partnership with the Senior Director Finance & Operations, support budget cycles, develop financial models, and help create workflow improvements across broader operational and financial systems and processes at WEC to ensure cross-functional efficiencies.

Responsibilities include but are not limited to:
Contracts and Grants Management
  • Oversee the review, execution, and tracking of contracts and grants to ensure timely completion.
  • Verify contract and grants details, including legal entity standing, budget alignment, and potential red flags (e.g., duplicate contracts, vendor history).
  • Maintain systems for monitoring contracts, including invoicing oversight, and maintain organized records of contracts, payments, and financial transactions for auditing and reporting purposes.
  • Ensure all contracts, grants, and vendor agreements comply with legal and fiscal requirements.
  • Ensure adherence to lobbying and political activity regulations, maintaining compliance for both 501(c)(3) and 501(c)(4) entities.
  • Manage timelines and systems for contract renewals, reporting, and related processes.
  • Review invoices and ensure timely payments to vendors, maintaining accurate financial records.
Financial Coordination
  • As a member of WEC's Operations team provide support across budgeting, accounting, cash management, and short-term and long-term forecasting.
  • Establish and execute financial workflows to track monthly financials and cash flow that can help provide real-time financial health snapshots.
  • Improve current processes and systems to best meet the needs of the organization and to ensure financial controls and operational efficiency.
  • Guide and support colleagues around financial and operational matters with a customer service approach.
Partnership Support
  • Liaise with WEC's fiscal sponsor, New Venture Funds, and internal WEC teams to ensure all operational policies are followed, including contracts, grants, and invoice processing.
  • Manage project timelines and budgets – recording and tracking all expenses – as well as vendor contracts, grants, and invoices.
  • Assist with event planning, including logistics coordination, procurement of equipment and supplies, and tracking inventory to ensure smooth execution and efficient resource management.

The individual holding this position may also work part-time for a coordinated project, Women's Equality Center Action Fund, in Sixteen Thirty Fund, a 501(c)(4) organization, under a resource sharing agreement between New Venture Fund and Sixteen Thirty Fund. The responsibilities under that position will be overseen by Sixteen Thirty Fund.

  • You will report to the Senior Director, Finance and Operations.
  • You will frequently collaborate across all teams at WEC, as well as New Venture Fund, our fiscal sponsor.
  • You will support WEC's external program partners and on-the-ground collaborators across Latin America and the Caribbean.
