Job summary

Russell Tobin is seeking a Senior Analyst/Associate for Family Office Advisory to deliver high-touch client service in a fast-paced private wealth setting. You will work closely with clients, investment teams, and external advisors to support wealth planning, investments, and administrative workflows.

The role combines private wealth management, family office advisory, and client service, with collaboration across attorneys, tax professionals, and investment staff.

Qualifications

  • Bachelor's degree required.
  • 3+ years in family office/private wealth management or similar environment.
  • Experience supporting high-net-worth individuals or families preferred.
  • Strong client service, account administration, and wealth management knowledge.
  • Exposure to trusts, estate planning, tax, insurance, philanthropy, wealth transfer is a plus.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Independent work with sound judgment and proactive problem solving.
  • Strong interpersonal skills and client-first mindset.
  • Discretion handling confidential information and collaboration across teams.

Responsibilities

  • Provide high-touch client service across wealth strategy and family office needs.
  • Assist with wealth planning, tax strategy, estate planning, and wealth transfer initiatives.
  • Coordinate client onboarding, transfers, and documentation.
  • Support cash management, private banking activities, and investments funding.
  • Coordinate investment-related documentation and investor materials.
  • Assist with trusts, GRATs, Delaware trusts, LLCs, wills, and prenups.
  • Work with attorneys, tax advisors, and other service providers.
  • Manage bespoke client requests from start to finish.
  • Maintain client records, CRM data, and project trackers.
  • Ensure data integrity and timely deliverables.
  • Train and mentor junior analysts and assist onboarding of new team members.

About the Role

We are seeking a Senior Analyst/Associate, Family Office Advisory to support high-net-worth and family office clients in a fast-paced, high-touch environment.

This position combines private wealth management, family office advisory, investment support, and client service. You will work closely with clients, internal investment and operations teams, and external advisors, including attorneys, tax professionals, insurance brokers, and other service providers.

Key Responsibilities
  • Provide high-touch client service and support across wealth strategy, investment management, lifestyle services, and family office needs.
  • Assist with wealth planning, tax strategy, legal matters, estate planning, asset protection, insurance, philanthropy, and wealth transfer initiatives.
  • Coordinate client onboarding, account transfers, account maintenance, documentation, and other administrative requirements.
  • Support cash management and private banking activities, including daily cash balances, bill payments, investment funding, tax payments, and cash disbursements.
  • Coordinate investment-related documentation, including subscription documents, purchase agreements, capital calls, and other investor support materials.
  • Assist with trusts and wealth structures, including revocable and irrevocable trusts, GRATs, Delaware trusts, LLCs, gifting, promissory notes, wills, and prenups.
  • Work closely with attorneys, tax advisors, insurance professionals, investment teams, operations teams, and other external service providers.
  • Manage bespoke and time-sensitive client requests and special projects from start to finish.
  • Maintain accurate client records, CRM information, project trackers, reporting, and other documentation.
  • Help ensure data integrity and timely completion of client-related deliverables.
  • Train and mentor junior analysts and assist with onboarding new team members.
What We're Looking For
  • Bachelor's degree required.
  • 3+ years of relevant professional experience in family office, private wealth management, private banking, wealth management, trust administration, or a similar environment.
  • Experience supporting high-net-worth or ultra-high-net-worth individuals, families, or family offices strongly preferred.
  • Strong understanding of client service, account administration, investment operations, or wealth management.
  • Exposure to trusts, estate planning, tax, insurance, philanthropy, or wealth-transfer strategies is a plus.
  • Excellent organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities and time-sensitive requests in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently, exercise sound judgment, and solve problems proactively.
  • Strong interpersonal skills and a client-first mindset.
  • Ability to handle highly confidential and sensitive information with discretion.
