Job summary

Okaloosa County School System seeks an experienced operations leader to manage daily operations of the county’s tourism venues, ensuring outstanding client experiences and efficient operations across facilities.

Responsibilities include staffing, event planning, safety, budget monitoring, and community engagement; requires a Bachelor’s degree in Business Administration, Event Management, or Hospitality with supervisory experience. Occasional evenings and weekends may be required.

  • CRM software knowledge is preferred.

Job description

GENERAL STATEMENT OF JOB

Leads the daily operations of Okaloosa County’s tourism venues (e.g., Convention Center, Rigdon Center, Baker Recreation & Equestrian Center) to ensure exceptional client experiences, efficient operations, and strong team performance.

EXAMPLES OF WORK
  • Supervises and manages staff to include assignment, scheduling, interviewing/hiring, training and development, and discipline.
  • Oversees daily operations across multiple tourism venues, to include staffing, scheduling, space requirements, event planning, equipment, parking, security, janitorial, and food and beverage/concessions.
  • Plans and coordinates events, promotions, and special functions, to include liaising with clients, vendors, suppliers and external parties, as well as setup/teardown, as required.
  • Ensures timely and accurate records are maintained throughout the event lifecycle.
  • Monitors service quality and implements improvements where needed; addresses client inquiries, concerns, and complaints promptly and professionally.
  • Ensures venues are used in accordance with county policies and operational procedures, safety codes, administrative regulations and conditions of rental, to include proper food handling and preparation.
  • Establishes and maintains professional relationships with the surrounding community, organizations, event promoters, booking agents, and related groups.
  • Researches market trends and competition; reviews and recommends facility needs, stays abreast of new trends and innovations regarding event venue facilities, professional meetings, conferences, trade shows, and special events.
  • Supports revenue-generating initiatives and cost-control measures; assists with budget development and monitoring.
  • Participates in planning activities for venues including, but not limited to, facility master planning, strategic business planning and budget planning, along with development and prioritization of capital projects for improvements to the venues.
  • Supports program operations outside of normal business hours, to include long days, occasional evenings, and weekends.
  • Performs other duties as assigned.
Minimum Qualifications
Education, Training and Experience

Bachelor's degree in Business Administration, Event Management, Hospitality or closely related field; supplemented by three (3) years of experience in event planning/operations, hospitality, or management of a multi-purpose event venue, two (2) years of which must be in a supervisory/management capacity; or an equivalent combination of education, training and experience which provides the required knowledge, skills and abilities. Experience managing multiple venues is preferred. Experience managing a publicly owned and operated event venue, arena or convention center is preferred. Working knowledge of customer relationship management (CRM) software applications is preferred.

Licenses and/or Certifications

Requires a valid driver license.

Physical Requirements

Requires the ability to operate office equipment, to include computers, copy/fax machines, and any related peripherals. Must be able to exert up to 50 pounds of force occasionally, or up to 25 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects. Requires long periods of walking/standing, with frequent bending and stooping. Must be able to traverse irregular, uneven, and/or erratically moving surfaces frequently. Requires the ability to perform manual labor to include moving tables and chairs, trash and debris removal. This position requires work for sustained periods of exposure to outside atmospheric conditions. Physical demands are in excess of those for sedentary work.

Requires the ability to communicate effectively in English, including the ability to convey, record and exchange information; requires the ability to explain procedures and to give, receive and follow oral and written instructions. Must be able to read a variety of moderately complex technical data, policy and procedure manuals, codes, professional journals. Requires the ability to prepare forms and reports using prescribed formats, and adhering to all rules of grammar, spelling, diction and punctuation. Requires the ability to communicate effectively and efficiently in a variety of technical and/or professional languages used within the parameters of the job.

Requires the ability to apply principles of logical or scientific thinking to define problems, collect data, establish facts and draw valid conclusions; to interpret a variety of technical instructions in written, mathematical or diagrammatic form; to learn and understand relatively complex principles and techniques; to make independent judgments in absence of supervision; to acquire knowledge of topics related to primary occupation. Requires the application of principles of influence systems and synthesis functions.

Numerical Aptitude

Must be able to add, subtract, multiply and divide; to determine weight; calculate decimals and percentages; compute discount, profit and loss, ratio and proportion.

Requires the ability to deal with people beyond receiving instructions. Must be adaptable to performing under moderate levels of stress, imposed by frequent deadlines, peak workloads, or public contact. Requires the ability to exercise consistent tact and courtesy when in frequent contact with various professionals, county staff, and the general public.
