Job summary

THE·TEAM’s music department seeks an Assistant to EVP in New York City to handle a wide range of administrative tasks supporting client and internal matters. Responsibilities include contract handling, itineraries, invoicing, and coordination with accounting and operations.

The ideal candidate brings 1–2+ years in music/agency settings, strong organization, and excellent communication skills. Base salary is $47,500 with discretionary bonus potential.

Qualifications

  • 1–2+ years of administrative or assistant experience in music/entertainment/agency space.
  • Strong organizational skills with ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented with data entry and documentation accuracy.
  • Excellent written and verbal communication skills.

Responsibilities

  • Maintain accuracy of artist contact records and deal memos in the booking system.
  • Update client bios, riders, and ad mats.
  • Enter offers and show details into the booking system.
  • Liaise with relevant teams to complete show-related administration.
  • Issue contracts for confirmed performances.
  • Track unreturned contracts; chase signed contracts.
  • Flag/review/address contract markups.
  • Create and issue artist itineraries when necessary.
  • Organize announces and on-sales.
  • Request/review ticket counts for confirmed events.
  • Create/send invoices for show-related payments (deposits, balances).
  • Track deposits and balances; liaise with accounting to allocate funds.
  • Track, collect, and enter finals; notify accounting to generate statements.
  • Coordinate with accounting to update client tax and payment information.
  • Manage work visa process for clients (immigration itineraries).
  • Coordinate with operations for client on/off boarding.
  • Set/confirm meetings; maintain agent and internal artist calendars.
  • Manage inbound calls for agents.
  • Book agent travel as necessary.
  • Submit agent expense reports.
  • Take on additional tasks as assigned.
