Position Details
Primary Function
The Cyber Assistant Student Services Coordinator supports the delivery and compliance of special education services in a virtual learning environment. This full-time role ensures accurate recordkeeping, data tracking, and procedural integrity related to student services and special education documentation. The assistant coordinator works under the supervision of the Student Services Coordinator to help manage caseloads, enrollment logistics, and regulatory compliance.
Qualifications
- Bachelor’s Degree in Special Education; highly qualified in all subjects. Master’s Degree preferred.
- Such alternative qualifications as the Board may find appropriate and acceptable.
- Administrative Certification Required – may be obtained during the first 18 months of employment.
Reports to: Student Services Coordinator
Term
220 Day contract. Full-time combination of remote and in-center work will be required. Center attendance to include state testing assistance, in-person team meetings, and other attendance, as needed.
Essential Duties And Responsibilities

Ensure services are started from the official student start date (turnover to SpEd. Teacher)
- Track and maintain caseload limits, ensuring compliance with overloads
- Organize/maintain spreadsheet of incoming enrollments and ensure protocol is followed when entered in PS
- Maintain and track previously enrolled, previously reported, have exited, and ineligible students.

Ensure that PowerSchool and MiPSE transfer information are inputted and accurate.
- Ensure duplicate students are merged
- Coordinate with centers and central office to ensure enrollment accuracy
- Communicate with MAISD to ensure accuracy
- Ensure and oversee published IEP/REED/ER in student file

IEP and REED meeting follow-up paperwork and signatures will be sent out & collected by Cyber SPED Secretary via DocuSign and sent electronically
- Ensure and track special education paperwork
- Process revocation paperwork for requested services.

Maintain a caseload of SPED students as needed/overflow
- Not more than half a caseload – dependent on ISD plan for caseload maximum.
- Act as a “teacher consultant” for students whose needs could be met under those services (requires Master’s degree + 3 years teaching experience)

Work with Student Services Coordinator to ensure Medicaid Billing is completed
- Approve necessary monthly billing
- Develop and implement compliance with billing

Work with Pupil Accounting to update and maintain information accuracy within PowerSchool and MiPSE.
- FTE is correct
- Special education information is accurate
- Previously reported students
- Bsheets

Ensure B Sheets and FTE are accurate and completed
- Work with pupil accounting to ensure audit accuracy
- Overflow caseload holding up to 12 students.
- Other duties as determined by the Student Services Coordinator.
