Job summary

Jones Lang LaSalle Incorporated (JLL) is seeking an Assistant Specialist, Strategic Sourcing to support IFM clients and internal stakeholders with contract administration, vendor management, and sourcing operations. You will help ensure compliance and optimize multiple systems while delivering value to the organization.

The role offers exposure to strategic sourcing, reporting, and cross-functional collaboration with Sourcing Leaders, Facilities Management and Supply Chain teams.

Qualifications

  • Bachelor's degree or 2–6 years of contracts administration or sourcing experience.
  • Proficiency with contract or sourcing systems such as Jaggaer, Aravo, Corrigo.
  • Experience with renewals, negotiations and compliance monitoring.

Responsibilities

  • Manage end-to-end contract lifecycle: drafts, renewals, extensions and terminations with vendor notifications.
  • Onboard vendors and administer systems: Jaggaer, Aravo, Corrigo registrations and data integrity.
  • Generate weekly/monthly reports for leadership: sourcing, contract expirations and performance.
  • Support property transitions and wind-downs with contract closure coordination.
  • Analyze data to identify risks and drive process improvements.

Assistant Specialist, Strategic Sourcing – JLL
What this job involves:

Provide operational and strategic support for Integrated Facilities Management (IFM) clients and internal stakeholders related to contract administration, vendor management, and sourcing operations. This role executes essential contracting activities while contributing to optimization of JLL managed services operations. You will develop expertise in sourcing operations and supplier relationships while ensuring compliance and operational excellence across multiple systems and processes. This position offers meaningful exposure to strategic sourcing functions and direct contribution to client satisfaction through efficient contract and vendor lifecycle management.

What your day-to-day will look like:
  • Manage end-to-end contract lifecycle activities: Draft service agreements, process renewals and extensions through Jaggaer, ensure compliance with JLL Legal and client terms, and coordinate termination requests with formal vendor notifications.
  • Execute vendor onboarding and system administration: Process vendor submissions through Aravo, create Corrigo registration records, upload and verify Time & Materials Rate Cards, and maintain vendor data integrity across multiple platforms.
  • Generate critical operational reports: Produce Weekly Sourcing Request Reports, Contract Expiration Reports, and Monthly MBR tracking documents for distribution to Strategic Sourcing, Supply Chain, and Facilities Management leadership teams.
  • Support property transitions and closures: Manage Property Closure Requests for decommissioned sites, distribute closure notices to vendors, and coordinate contractual wind-down activities during site transitions.
  • Conduct data analysis and quality assurance: Review contract and vendor data to identify anomalies and risks, perform system audits to maintain 95%+ compliance rates, and recommend corrective actions for process improvements.
  • Develop process documentation and support strategic initiatives: Create and update Quick Reference Guides for sourcing processes, participate in RFP/bid activities, and contribute market intelligence for strategic sourcing decisions.
  • Collaborate across functions: Partner with Sourcing Leaders, Facilities Management, Engineering, and Supply Chain Operations teams to prioritize deliverables, resolve operational issues, and maintain stakeholder satisfaction through proactive communication.
Required Qualifications:
  • Bachelor's degree (BA/BS) from four-year college or university, or 2-6 years of contracts administration, strategic sourcing operations, or vendor management experience, preferably in Indirect Services.
  • Proficiency with contract or sourcing management systems (e.g., Jaggaer, Aravo, Corrigo) required; demonstrated system administration capability preferred.
  • Demonstrated capability in contract management, including renewals, negotiations, and compliance monitoring.
Preferred Qualifications:
  • Experience maintaining 95%+ compliance rates in contract or vendor management systems.
  • Project management capabilities and ability to contribute to challenging work within team environment.
  • Detail-oriented approach with strong commitment to accuracy, quality control, and compliance in high-volume environments.
  • Demonstrated ability to work independently while knowing when to elevate issues appropriately.
  • Proactive, results-driven professional with strong initiative and consistent track record of achieving objectives under demanding workloads.
  • Customer-focused problem solver committed to timely issue resolution and continuous process improvement.
  • Strong organizational and interpersonal skills with proven ability to manage multiple tasks and deliverables within established guidelines and policies.
  • Analytical ability to review, interpret, and analyze data with minimal support, exercising independent judgment on projects with reasonable complexity.
  • Excellent communication skills – verbal and written – with ability to manage internal and external stakeholder expectations proactively.
  • Proficient PC skills with expertise in MS Office, Google Suite, and AI applications.

Estimated compensation for this position: 67,000.00 – 82,000.00 USD per year. This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
