Job summary

The Catalyst Family seeks an Assistant Site Coordinator to support the Site Coordinator in managing an after-school program in San Jose. You will help provide high-quality programming, mentor staff, engage students, and maintain a safe, structured learning environment.

In this leadership role you will coordinate day-to-day operations, assist with scheduling, attendance, and curriculum planning, and foster positive relationships with school staff, families, and community partners.

Qualifications

  • High School Diploma required.
  • Paraprofessional eligibility according to the district offering the job.
  • Minimum 1 year of experience in expanded learning or youth development.
  • Strong verbal and written communication skills.
  • Ability to multitask in a fast-paced environment.
  • Proficient in MS Office and basic digital tools.
  • Team oriented and child focused.

Responsibilities

  • Assist Site Coordinator in supervising and coaching staff and volunteers.
  • Provide on-the-floor leadership for student engagement and classroom management.
  • Support staff scheduling, timekeeping, and substitute coverage.
  • Facilitate small group staff meetings or check-ins with the Site Coordinator.
  • Lead program activities including academic support, enrichment, and recreation.
  • Maintain attendance records and daily logs.
  • Assist with lesson planning and curriculum organization.
  • Track supplies usage and assist in inventory and basic purchasing.
  • Maintain compliance documentation related to staff, students, and site safety.
  • Communicate with school administrators, faculty, parents, and community partners.
  • Support family engagement events and partnerships at the site.
  • Ensure adherence to child supervision, safety, and ratio policies.
  • Assist with alignment to district/state regulations for expanded learning programs.
  • Participate in professional development and required certifications.
  • Support positive behavior guidance and conflict resolution.

Essential Job Functions


  • Assists the Site Coordinator in the supervision and coaching of instructor staff and volunteers

  • Provides on-the-floor leadership, modeling best practices in student engagement, classroom management, and curriculum delivery

  • Supports staff scheduling, timekeeping, and requesting substitute coverage when necessary

  • Facilitates small group staff meetings or check‑ins in coordination with the Site Coordinator

  • Leads program activities as needed, including academic support, enrichment, and recreation

  • Helps maintain accurate student attendance records and daily logs

  • Supports curriculum organization and assists in lesson planning preparation

  • Tracks and reports program supplies usage; assists in inventory and basic purchasing tasks under Site Coordinator’s direction

  • Maintains compliance documentation related to staff, students, and site safety

  • Serves as the primary point of contact in the absence of the Site Coordinator, ensuring consistent and effective communication with school administrators, faculty, parents, community partners, and Expanded Learning leadership to support program continuity, address concerns, and uphold site expectations

  • Provides regular updates to the Site Coordinator on student behavior, staff performance, and program operations

  • Assists with family engagement events and community partnerships at the site

  • Ensures all staff adhere to child supervision, safety, and ratio policies

  • Helps ensure alignment with district and state regulations related to expanded learning programs

  • Participates in regular professional development, training, and all required certifications

  • Supports implementation of positive behavior guidance and conflict resolution techniques


Education And Experience

Education

The MINIMUM formal relevant education required by the position.



  • High School Diploma

  • Must meet school district’s requirements for a Paraprofessional (based on district in which job is offered—requirements vary district to district).


Experience

The MINIMUM relevant experience necessary to qualify for the position.



  • Minimum of 1 year of experience working in expanded learning or youth development and supporting instruction or delivering activities in a structured group setting.

  • Ability to multitask and stay organized in a fast-paced environment.

  • Excellent interpersonal skills with both youth and adults.

  • Proactive problem-solving and conflict resolution skills.

  • Proficient in Microsoft Office (i.e. Outlook, Excel, Word) and basic digital tools.

  • Must be flexible, team oriented, child focused, and wanted to make a difference in children's lives.

  • Able to receive and implement constructive feedback.

Monday - Friday, 9am - 6pm
