Job summary

Onni Properties (Chicago) Inc is seeking a Residential Assistant Property Manager to lead day-to-day operations for a residential building. You will manage accounting, reporting, and service delivery while coaching associates to exceed customer expectations.

Ideal candidates have 3 years of property management experience, strong English communication, and proficiency with MS Excel and Yardi. This on-site role offers a competitive salary and comprehensive benefits.

Qualifications

  • 3 years in Residential Property Management with sales and admin responsibility.

Responsibilities

  • Manage monthly A/R tasks including payments and month-end reporting.
  • Administer A/P cycle: coding invoices and submitting to Head Office.
  • Oversee rent collection, delinquency management, notices and evictions as needed.
  • Coordinate with Service Team and track resident service requests.
  • Prepare move-outs and final resident statements.
  • Develop and implement marketing plans to optimize resource use.
  • Ensure office operates per policy and maintain records.

Job Description:

The Residential Assistant Property Manger assists in the execution of strategic business plans and in leading day-to-day operations for an assigned residential building. The Residential Assistant Manager is a gatekeeper of accuracy and ensures accounting and administrative functions are conducted with precision. The Assistant Manager is a team leader and offers coaching and support to associates. They lead the team by example and ensure service and sales standards exceed customer expectation as well as ensure the property achieves established financial and operational goals. This team leader oversees that all work is carried out in accordance with the company’s policies and procedures, and any applicable local, state or federal laws.

What Will You Do?
  • Manage, create, and maintain monthly A/r duties including but not limited to payment processing and management, “Pre- Month End” and “Accounting Month End” reports.
  • Administer and maintain all administrative duties related to A/P, active purchase order system then coding invoices, and submitting them to the Head Office within the mandated time frame.
  • Oversee, prepare, and carry out legal processes, weekly reporting, rent collection, delinquency management, Notices to Pay Rent or Quit, evictions, collections, Covid-19 moratorium understanding and updates, and balanced owed letters.
  • Collaborate with the Service Team.
  • Track resident service requests to ensure accuracy and resident satisfaction.
  • Work with the Service Team to ensure an exquisite tour path.
  • Process move-outs and resident final account statements.
  • Understand every aspect of the customer’s experience.
  • Offer recommendations and work to find the right solutions.
  • Execute a marketing plan and review reporting to ensure effective application of resources.
  • Create and deliver any general notices to the residents and vendors.
  • Maintain strong communication with all residents via Resident Email Blasts and notices.
  • Assist with resolving resident issues, complaints, or special requests/accommodations.
  • Create, print, and distribute reports required by the office or service team.
  • Create and produce any forms, notices, marketing collaterals as directed.
  • Oversee and manage day-to-day duties and responsibilities of Resident Services and Concierge teams.
  • Support leasing staff by performing any and all duties of a Leasing Consultant as needed.
  • Help plan and host monthly resident functions.
  • Ensure that the office is always clean and that all workstations and filing areas are being kept organized as per company policy.
  • Maintain office inventory and orders supplies as needed.
  • Ensure that the property office is organized and runs smoothly as per company policies and in the absence of the Property Manager.
  • Responsible for validation of all data entry including prospect, traffic, applications, leases, move-outs, deposits and closing reports.
  • Comply with Company’s policies and procedures, safety rules and regulations, and all applicable local, state, and federal laws.
  • Successfully complete all training provided by the company with regards to accounting, fair housing, marketing, leasing, customer service, etc.
  • Perform other duties assigned.
What You Bring:
  • Positivity-infused leadership style with the ability to persuade and negotiate well with others.
  • 3 years in Residential Property Management with a proven track record in sales and administrative responsibility.
  • Demonstrated ability to read, write, and communicate effectively in English.
  • Ability to comprehend and complete legal documents, sell and explain apartment features, and answer questions about the property’s operation.
  • Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs to complete required reports and employment documents.
  • Strong proficiency in using property management software, preferably Yardi.
  • Excellent experience in MS Excel, MS Word, MS Outlook and MS Windows.
  • Demonstrates initiative, personal awareness, professionalism, integrity, professional appearance and exercises confidentiality.
  • High School diploma or GED (College degree, preferred) and an employment history that demonstrates the application of property management, sales, marketing, and customer service background sufficient to manage the day-to-day operation of an apartment community.
Salary Range:

$70,000 - $75,000
