Job Title

Assistant Property Manager (CRE)

Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator duties if there is no property administrator on the team. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities

  1. Provide administrative support, including phone support, reports, filing, and correspondence. Coordinate office supplies if no property administrator is present.
  2. Assist in lease administration, including abstracting leases and updating databases.
  3. Maintain orderly property files, including leases and contracts.
  4. Prepare bid proposals and service contracts.
  5. Obtain aging reports for management and follow up on delinquencies per policies.
  6. Process invoices in accounting with proper backup and procedures.
  7. Coordinate tenant move-ins and move-outs, including furniture logistics.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain tenant service programs, such as handbooks, newsletters, and events.
  10. Update office procedures and ensure Certificates of Insurance are current.
  11. Review and approve management and staff hours, expense reports, and check requests.
  12. Ensure timely processing of tenant bill-backs for utilities and other charges.
  13. Assist in budget preparation and financial reporting, including bank deposits.
  14. Conduct property inspections with service providers and oversee contractor performance.

Education

High school diploma or GED required; Bachelor’s degree preferred.

Experience

Professional office setting with standard office equipment; regular travel between properties in varying weather conditions.

Physical Demands

Ability to stand, walk, ascend/descend stairs, and operate office machinery; travel outdoors as needed.
