Job Title

Assistant Property Manager (CRE)

Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator duties if there is no property administrator on the team. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities
  1. Provide full administrative support, including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies in the absence of a property administrator.
  2. Assist in lease administration activities, including abstracting leases and updating databases.
  3. Maintain organized property files, including leases and contracts.
  4. Prepare and coordinate bid proposals and service contracts.
  5. Obtain aging reports for management and follow up on delinquencies according to policies.
  6. Process invoices with proper backup in accounting, following established procedures.
  7. Coordinate tenant move-ins and move-outs, including furniture delivery and pickup.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain a Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, newsletters, and training programs. Ensure tenant information is current.
  10. Update and maintain office procedures in the Operations Manual under the manager's guidance.
  11. Ensure Certificates of Insurance for tenants and vendors are current.
  12. Oversee processing of staff hours, expense reports, and check requests.
  13. Ensure timely processing of tenant bill-backs for utilities and other charges.
  14. Assist with annual budgets, monthly financial reports, and bank deposits.
  15. Conduct regular property inspections with service providers.
  16. Oversee performance of service contractors.

Education

Experience

Additional Qualifications

Proficiency in Microsoft Office Suite; proactive and deadline-oriented.

Work Environment

Professional office setting with routine use of standard office equipment. Travel between properties required, often in varying weather conditions.

Physical Demands

Ability to stand, walk, ascend stairs, and operate office machinery. May need to travel outdoors in weather conditions. Sitting or standing for extended periods.
