Job Title

Assistant Property Manager (CRE)

Job Description Summary

The Assistant Property Manager assists in all areas outlined in the Sr. Assistant Property Manager's responsibilities and performs property administrator duties if the role is vacant. The role requires a high level of professionalism and the ability to foster positive relationships with tenants and clients.

Essential Functions and Responsibilities

  1. Provide administrative support including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies if no property administrator is present.
  2. Assist with lease administration, including lease abstraction and database updates.
  3. Maintain property files, including leases and contracts, in an organized manner.
  4. Prepare and coordinate bid proposals and service contracts.
  5. Obtain aging reports and follow up on delinquencies following company policies.
  6. Ensure invoices are processed correctly with appropriate backup.
  7. Coordinate tenant move-ins and move-outs, including furniture logistics.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain a Tenant Service Package, ensuring tenant data is current.
  10. Update office procedures in the Operations Manual under the manager's guidance.
  11. Ensure Certificates of Insurance are current for tenants and vendors.
  12. Review and approve staff hours, expense reports, and check requests.
  13. Process tenant bill-backs promptly.
  14. Assist with budget preparations, financial reports, and bank deposits.
  15. Conduct regular property inspections with service providers.
  16. Oversee performance of service contractors.

Education

High school diploma/GED required; Bachelor’s Degree preferred.

Experience

Minimum 1 year in real estate property management or related field.

Work Environment

Professional office setting; requires travel between properties in varying weather conditions.

Physical Demands

Ability to stand, walk, ascend stairs, and operate office machinery; may need to travel outdoors in weather conditions.
