Assistant Property Manager (CRE)

Job Description Summary

The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Sr. Assistant Property Manager job description, as well as performing property administrator duties if there is no property administrator on the team. The Assistant Property Manager will ensure a high level of professionalism and foster positive relationships with tenants and clients.

Job Description
Essential Functions and Responsibilities
  1. Provide full administrative support, including phone support, typing, reports, filing, and correspondence distribution. Coordinate office supplies in absence of a property administrator.
  2. Assist in lease administration activities, including abstracting leases and maintaining the database.
  3. Maintain all property files in an organized manner, including leases and contracts.
  4. Prepare and coordinate bid proposals and service contracts.
  5. Obtain aging reports for management and follow up on delinquencies, using C&W or client policies.
  6. Ensure invoices are processed with appropriate backup according to procedures.
  7. Coordinate tenant move-ins and move-outs, including furniture logistics.
  8. Oversee maintenance of work order and purchase order systems.
  9. Develop and maintain a Tenant Service Package, including handbooks, anniversaries, holiday gifts, park events, newsletters, and training programs. Ensure tenant information is current.
  10. Update and maintain office procedures in the Operations Manual under the manager’s guidance.
  11. Ensure Certificates of Insurance for tenants and vendors are current.
  12. Oversee processing of staff hours, expense reports, and check requests.
  13. Manage tenant bill-backs for charges like electrical usage and after-hours HVAC.
  14. Assist in budget preparations, monthly financial reports, and bank deposits.
  15. Conduct regular inspections of properties with service providers.
  16. Oversee performance of service contractors.

Education

Experience

Work Environment

Professional office setting. Regular travel between properties in varying weather conditions.

Physical Demands

Stand, walk, ascend/descend stairs, and operate office machinery as needed. Ability to work for extended periods and travel outside in outdoor conditions.
