Overview:

We are seeking an experienced Assistant Commercial Property Manager to join our team and oversee a diverse mixed-use portfolio. This role requires strong written and verbal communication skills, a proactive problem-solving mindset, and the ability to work independently and efficiently to meet operational goals.

Position Summary:

As a Commercial Property Manager, you will lead the day-to-day operations and administration of tenant lease agreements, property financials, vendor coordination, reporting, and tenant relations. You will play a key role in budgeting, overseeing tenant build-outs, and ensuring that both ownership and tenant needs are met with professionalism and efficiency.

Key Responsibilities:

Tenant & Owner Relations

  • Deliver exceptional tenant service and timely resolution of issues.
  • Monitor and follow up on tenant work orders and service requests.
  • Understand lease terms and ensure compliance by both tenant and landlord.
  • Maintain up-to-date and accurate records: leases, tenant/vendor files, contact lists, emergency procedures, insurance documents, etc.
  • Maintain Property Management Plans and Preventive Maintenance Procedures.

Property Operations & Administrative Duties

  • Oversee daily office operations and communication.
  • Draft memos, correspondence, and maintain supply inventory.
  • Manage key cards/security access, building calendars, and office files.
  • Conduct regular property and janitorial inspections.
  • Coordinate tenant move-ins and assist with construction/build-out oversight.
  • Participate in space tours and leasing support, when needed.
  • Prepare and manage vendor contracts in compliance with company policies.

Financial Management

  • Develop and manage annual operating and capital budgets.
  • Review and approve property invoices, coding per approved budgets.
  • Manage AR collections and ensure timely rent payments.
  • Review monthly financials and assist ownership with financial updates and forecasts.
  • Prepare monthly accruals, expense variances, and quarterly client reports.

Accounts Payable & Receivable

  • Process and code vendor invoices, ensure POs and RMIS registration.
  • Manage check returns and maintain vendor files.
  • Setup tenant billing based on lease abstracts and monitor payments.
  • Create and distribute monthly rent statements; manage delinquencies.

Lease Administration

  • Abstract new leases and input into accounting systems.
  • Maintain billing schedules, insurance expirations, and lease documentation.
  • Coordinate tenant signage and welcome materials.
  • Secure original lease files and maintain digital copies.

Reporting

  • Prepare month-end financial close packages.
  • Run audit trail and expense distribution reports.
  • Ensure accurate reporting with variance commentary and executive summaries.

Team & Vendor Coordination

  • Serve as the primary point of contact for tenants.
  • Coordinate with leasing, advisory, and contractor teams to ensure property readiness.
  • Solicit and manage vendor bids, service contracts, and tenant move-ins.

Other Duties

  • Be available for after-hours emergencies; coordinate response with maintenance and contractors.
  • Support Property Manager and team with special projects as needed.

Requirements:

  • Bachelor’s degree from a four-year college or university.
  • Minimum of 3 years of relevant commercial real estate property management experience.
  • Proficiency in MS Word and Excel.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent communication and interpersonal abilities.

Compensation:

$60,000 - $75,000
