Job summary

5812 Investment Group is seeking a proactive Property Manager Assistant to support leasing, resident relations, marketing, collections, and accounts payable. This role handles daily tasks in the Property Manager's absence and contributes to financial and operational efficiency.

You will assist with administrative duties, invoicing, notices, and move-ins/move-outs, while coordinating vendor relations and reporting. A strong customer-service mindset and reliable teamwork are essential.

Qualifications

  • 1+ year of experience in multi-family property management; supervisory exposure is a plus.

Responsibilities

  • Assist Property Manager with leasing, resident relations, marketing, collections, and AP.
  • Process applications, leases, notices, and move-ins/outs; maintain records.
  • Manage daily and monthly reporting; post and deposit funds; monitor delinquencies.
  • Coordinate vendor relations, scheduling, and contract compliance.
  • Support staff supervision, training, and scheduling; respond to emergencies.
  • Handle administrative tasks, including reception and clerical duties.
  • Prepare the Monday Morning Report and other management reports.
  • Ensure office supplies and maintenance coordination for turnovers.

Job description

Job Description
  1. Assist the Property Manager with the overall operations and success of the community, including leasing, resident relations, marketing, collections, and accounts payable. Perform daily functions of the Property Manager in their absence.
  2. Complete property administrative operations: accounts payable, evictions, collections, billing, data management, and month‑end close‑out procedures.
  3. Maintain accurate resident records; update daily rents, deposits, and application fees. Issue appropriate notices (e.g., late notices, eviction notices, returned‑check notices). Note: Handling notices promptly reduces delinquency losses.
  4. Recordkeeping and reporting responsibilities on a daily, weekly, and monthly basis.
  5. Promptly post, scan, and deposit all monies received and report deposits to the corporate office as required by company policy.
  6. Minimize delinquency losses by promptly performing all collection procedures: late notices, court filings, eviction proceedings, judgments, writs, liens, and collection agency transfers; perform utility cut‑offs (if applicable) and landlord liens as permitted by local law on delinquent rents.
  7. Assist the community director with vendor relations, including selection, contract compliance, work scheduling, billing timeliness, and insurance compliance.
  8. Assist with processing invoices and utility bills for payment and monitor expenses.
  9. Assist in creating, monitoring, and reviewing resident manager schedules and calendars.
  10. Monitor inventory of and place orders for office supplies.
  11. Willing and able to appear in court for legal proceedings when necessary.
Staff Management
  1. Assist with staff management responsibilities: supervising, training, and development.
  2. Review Leasing Consultant schedules, WASR, service request logs, and other activity tracking tools to ensure high staff productivity.
  3. Willing and able to respond to on‑site emergencies when the Property Manager is unavailable or when requested.
  4. Assist with interviewing and selection of prospective employees.
Administrative / Office
  1. Handle resident activities and complaints.
  2. Draft, update, and maintain the Monday Morning Report and other administrative reports.
  3. Process applications and lease renewals; greet prospective residents and show apartments.
  4. Assist new residents during the move‑in process when necessary.
  5. Handle administrative functions, including clerical and reception responsibilities.
  6. Work with the maintenance/service team to handle service requests, apartment turnovers, make‑ready board updates, and ensure apartments are prepared for move‑ins and reconditioned after move‑outs.
Customer Service
  1. Maintain a positive customer service attitude.
  2. Periodically inspect units with residents or staff members during move‑in/move‑out.
  3. Review notices to vacate to determine cause of move‑out.
  4. Maintain high level of resident communication (e.g., complaints, service requests).
  5. Ensure customer service standards are met to maximize resident satisfaction and retention.
  6. Assist with review of market surveys and shop competition; be aware of local market conditions.
Qualifications
  1. 1+ year of experience in multi‑family property management and 1+ year of supervisory experience.
  2. Strong initiative and solid leadership potential.
  3. Competent crisis‑management skills: able to think on one’s feet, make rapid independent decisions, and mitigate safety, financial, and reputational impact.
  4. Project‑oriented with the ability to handle multiple tasks and meet deadlines.
  5. Good customer service skills, able to handle difficult or emotional customers and respond promptly.
  6. Strong communication (oral and written), critical thinking, and analytical ability.
  7. Good planning/organizational skills: prioritize, plan work, use time efficiently, set goals, and develop realistic action plans.
  8. Good interpersonal skills: focus on solving conflict, maintain confidentiality, listen without interrupting, and remain open to new ideas.
  9. Excellent teamwork skills: balance team and individual responsibilities, give and welcome feedback, build morale, and support everyone’s efforts.
  10. Excellent attendance and punctuality, always on time and ensuring responsibilities are covered when absent.
  11. Excellent dependability: follow instructions, take responsibility, keep commitments, and complete tasks on time or provide alternate plans.

  13. Strong administrative skills, including proficiency with Microsoft Office products and keyboarding.
  14. Previous experience with OneSite preferred.
