The Assistant Property Manager supports the Property Manager in all functions of property management. Responsibilities include on-site administrative functions, leasing apartments, and resident relations. The role involves assisting with operations management, marketing, human resources, maintenance programs, and compliance. The Assistant Property Manager acts as the person-in-charge in the absence of the Property Manager.
Essential Job Functions
- Provide first-line customer service, creating a welcoming environment for prospective and current residents, and property guests.
- Assist with training, motivating, and supervising on-site team members to achieve operational goals, including onboarding, timesheet approval, and policy training.
- Greet prospective residents, assess needs, lead tours, show units, complete guest cards, and market amenities to maintain occupancy.
- Complete lease applications, verify applications, notify prospects of decisions, and submit lease documentation for final approval.
- Keep CRM queue updated, follow up with prospects and residents via calls and emails.
- Maintain accurate resident records, update and collect rents, deposits, and charges, and communicate with residents about balances and legal processes when necessary.
- Organize and file reports, leases, and paperwork; update records in Yardi; manage move-out notices, resident activity, and renewals.
- Process security deposit dispositions and handle non-collectible accounts with the collections department.
- Manage month-end closing duties, purchase orders, and invoices.
- Inspect models, vacant apartments, community grounds, and report service needs.
- Perform HR administration as needed, following company policies.
- Report incidents to the Property Manager or corporate office immediately.
- Visit comparable properties for market knowledge and assist in preparing monthly market analysis.
- Collaborate with Marketing to develop promotional programs, advertising, referral programs, and resident events.
- Conduct monthly ILS audits and report findings.
- Maintain regular office hours, including weekends and holidays, with flexibility during leasing season.
- Conduct all business in accordance with policies, Fair Housing, ADA, FCRA, and housing laws.
Knowledge, Skills, and Abilities
- Minimum two years property management experience or equivalent.
- Exceptional customer service skills.
- Ability to follow directives with minimal supervision.
- Excellent written and verbal communication skills.
- Ability to see projects through to completion.
- Positive interaction with residents, staff, vendors, and the public.
- Basic arithmetic skills.
- Attention to detail and adherence to deadlines.
- Strong follow-up skills.
- Organizational skills for managing multiple priorities.
- Teamwork ability.
- Proficiency in Microsoft Office Suite.
- High School Diploma or equivalent required; a 4-year BA/BS in Marketing, Sales, or related field preferred.
Physical and Other Requirements
- Regularly sit, talk, hear; stand, walk, handle objects; reach with hands and arms; lift/move up to 15 pounds.
- Maintain high ethical standards.
- Work overtime, evenings, weekends, or holidays as needed.
- Travel between properties required for floating positions.
