Qualifications

Position Summary:

The Assistant Project Manager supports the Project Management team throughout the full project life cycle, from initial planning and estimating through project execution and closeout. This role provides critical coordination and administrative support across estimating, project documentation, plan management, scheduling, procurement, cost tracking, and project closeout. The Assistant Project Manager works closely with Project Managers, site supervisors, subcontractors, vendors, and internal teams to help ensure projects are completed safely, efficiently, accurately, on schedule, and in accordance with company standards.

Key Responsibilities:
Estimating Support
  • Assist with the estimating process by gathering, organizing, and reviewing bid documents and supporting materials.
  • Perform quantity takeoffs and assist with the preparation of detailed cost estimates.
  • Obtain and organize subcontractor and vendor pricing as directed.
  • Assist with maintaining estimating documentation and records.
Plan Management
  • Assist with managing and maintaining current construction drawings, specifications, and related project plans.
  • Coordinate the distribution of updated drawings and plan revisions to appropriate project team members, subcontractors, and vendors.
  • Help identify and communicate plan discrepancies, revisions, and other changes that may impact project execution.
  • Maintain organized records of drawings and revisions throughout the project.
Document Control and Permitting
  • Maintain and organize project documentation, including submittals, RFIs, permits, contracts, change orders, correspondence, and other project records.
  • Ensure project documentation is current, complete, accurately maintained, and readily accessible.
  • Assist with preparing and submitting building permit applications and related documentation.
  • Coordinate with local permitting authorities and assist with tracking permit status and requirements.
  • Support compliance with applicable building codes, permitting requirements, and company standards.
Budget and Cost Management
  • Assist with the preparation, processing, and tracking of purchase orders, subcontracts, change orders, invoices, and other project cost documentation.
  • Support Project Managers with maintaining accurate project budgets and cost records.
  • Assist with monitoring committed and projected costs and identifying discrepancies or items requiring follow-up.
  • Maintain organized records of project financial documentation.
Scheduling and Coordination
  • Assist with project schedule development, maintenance, and coordination.
  • Communicate with subcontractors, suppliers, site supervisors, and internal team members to support timely completion of project activities.
  • Assist with tracking project milestones, deadlines, material deliveries, and other schedule-related requirements.
  • Communicate potential delays or scheduling concerns to the appropriate Project Manager or project team member.
General Project Support
  • Provide day-to-day administrative and coordination support to the Project Management team.
  • Prepare meeting agendas, compile and distribute meeting minutes, and track follow-up items.
  • Manage project-related correspondence and maintain organized communication records.
  • Assist with coordinating project meetings, inspections, deliveries, and other project activities.
  • Provide limited support to Project Managers and site supervisors in the field as needed.
  • Assist with project closeout activities, including documentation, warranties, punch lists, and other closeout requirements.
  • Perform other duties and responsibilities as assigned.
Knowledge, Skills & Abilities
  • One to three years of construction industry experience preferred.
  • Associate or bachelor's degree in construction management, engineering, business, or a related discipline preferred.
