Job summary

ArtPride New Jersey Foundation is seeking an Assistant Production Manager to provide administrative and logistical support for the Production Manager. You will track spending and inventory, prepare statements, and coordinate mainstage logistics including catering, hospitality, and parking.

In coordination with the Director of Special Events, you will serve as the technical representative for the Studio space and coordinate needs for events there.

Qualifications

  • Bachelor’s degree or equivalent work experience in related position.
  • Strong interpersonal and cultivation skills.
  • Strong organizational and problem-solving skills.
  • Ability to manage a variety of assignments concurrently and meet multiple deadlines.
  • Ability to work a varied schedule to include nights and weekends as dictated by the performance schedule.
  • Working knowledge of Microsoft Office products, especially Excel, Word, and Adobe Acrobat.

Responsibilities

  • Assist the Production Manager in preparation of paperwork such as settlement documents, spending statements, schedules, HR paperwork for Production, and inventory controls.
  • Coordinate housing, meals, transportation, and in-theatre hospitality arrangements.
  • Perform data entry for payroll systems and local records.
  • Act as the Production representative for the main stage in the absence of the Production Manager.
  • Coordinate needs for Studio space events, including community events, performances, meetings, and rental events.
  • Coordinate IATSE personnel needs for events.
  • Assist with setup of spaces and coordination of rental needs with the Director of Event Services.
  • Troubleshoot logistic and production issues as they arise.
  • Prepare, distribute, and track all appropriate paperwork.
  • Attend internal and external meetings as a representative of the Production Department.

Job description

The Assistant Production Manager is responsible for providing administrative and logistical support for the Production Manager. They will track spending and inventory, prepare statements, and help coordinate mainstage logistics, with activities such as catering, hospitality, and parking. Additionally, in coordination with the Director of Special Events, the Assistant Production Manager will act as the technical representative for the Studio space, and coordinate needs for the events in that space.

Duties and Responsibilities

  • Assist the Production Manager in preparation of paperwork, such as settlement documents, spending statements, schedules, HR paperwork for Production, and inventory controls.
  • Make the logistical arrangements for housing, meals, transportation, and in-theatre hospitality.
  • Perform data entry for IATSE payroll, both online and in local systems.
  • Act as the Production representative for the main stage in the absence of the Production Manager.
  • Act as the Production representative for Studio space—including but not limited to, community events, performances, meetings & rental events.
  • Coordinate IATSE personnel needs for events.
  • Assist with setup of space, including arraigning for rental needs and coordination with the Director of Event Services.
  • Troubleshoot logistic and production issues.
  • Prepare, distribute, and track all appropriate paperwork.
  • Attend all necessary internal and external meetings as a representative of the Production Department.
  • Other duties as assigned.
