Assistant P/M Service Coordinator- Technology

Job Summary
The
Assistant P/M (Project Manager) Service Coordinator plays a vital role in ensuring the smooth scheduling and execution of services. This position supports the P/M Coordinator by managing work orders, coordinating technicians, maintaining records, and ensuring compliance with company policies and customer requirements. The ideal candidate is detail-oriented, organized, and possesses excellent communication and problem-solving skills.
Key Responsibilities
Scheduling & Coordination
- Set Up Work Orders
- Communicate with customers to confirm appointments and gather necessary service details.
- Coordinate service activities to minimize downtime and ensure timely completion of work.
- Bill Work Orders
- Assist Project managers with Submittals and Closeout tasks
Administrative Support
- Maintain and update service records, work orders, and maintenance schedules.
- Process documentation, including invoices, reports, and customer communications.
- Ensure accurate data entry into service management systems and databases.
Customer Service
- Respond to customer inquiries regarding services.
- Provide updates on scheduled services and follow up on completed work.
- Address any service-related concerns and escalate issues as needed.
Technical & Compliance Support
- Assist in tracking and managing contracts.
- Ensure service activities comply with safety regulations and company policies.
- Collaborate with vendors, technicians, and management to resolve challenges.
Qualifications & Requirements
- High school diploma or equivalent
- Previous experience in service coordination, scheduling, or administrative support is a plus.
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) Bluebeam, and service management software. Experience in Vista is preferred but not required.
- Ability to work in a fast-paced environment and handle multiple priorities.
