Job Summary

The Assistant P/M (Project Manager) Service Coordinator plays a vital role in ensuring the smooth scheduling and execution of services. This position supports the P/M Coordinator by managing work orders, coordinating technicians, maintaining records, and ensuring compliance with company policies and customer requirements. The ideal candidate is detail-oriented, organized, and possesses excellent communication and problem-solving skills.

Key Responsibilities

Scheduling & Coordination

  • Set Up Work Orders
  • Communicate with customers to confirm appointments and gather necessary service details.
  • Coordinate service activities to minimize downtime and ensure timely completion of work.
  • Bill Work Orders
  • Assist Project managers with Submittals and Closeout tasks

Administrative Support

  • Maintain and update service records, work orders, and maintenance schedules.
  • Process documentation, including invoices, reports, and customer communications.
  • Ensure accurate data entry into service management systems and databases.

Customer Service

  • Respond to customer inquiries regarding services.
  • Provide updates on scheduled services and follow up on completed work.
  • Address any service-related concerns and escalate issues as needed.

Technical & Compliance Support

  • Assist in tracking and managing contracts.
  • Ensure service activities comply with safety regulations and company policies.
  • Collaborate with vendors, technicians, and management to resolve challenges.

Qualifications & Requirements

  • High school diploma or equivalent
  • Previous experience in service coordination, scheduling, or administrative support is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook), Bluebeam, and service management software. Experience in Vista is preferred but not required.
  • Ability to work in a fast-paced environment and handle multiple priorities.
