We are seeking an Assistant Office Services Manager to support our Business Unit. The role involves managing activities assigned by the Senior Office Services Manager, utilizing Microsoft Office applications, and maintaining strong organizational skills to handle multiple deadlines. The position reports to the Senior Office Services Manager and offers a hybrid schedule based in Long Beach, CA, or San Diego, CA, with a preference for San Diego.

Key Responsibilities
  • Manage client, project, and billing information in Vision Vantagepoint.
  • Review timesheets and expense sheets.
  • Prepare, log, upload, and track monthly client invoices.
  • Follow up on accounts receivable, including sending statements and assisting clients with invoice inquiries.
  • Reconcile credit card statements monthly.
  • Assist with new hire orientation and training on time and expense reporting.
  • Support Project Managers with purchase orders and Vantagepoint reports.
  • Provide ad hoc support as directed by senior staff.
  • Coordinate office events such as lunches and holiday parties.
Qualifications
  • AA or BA/BS degree preferred.
  • At least 5 years of office experience, including invoicing.
  • Proficiency in Microsoft Office suite.
  • Relevant billing and accounting experience.
  • Ability to work independently and collaboratively, providing guidance to others.
Compensation

USD $73,000.00 - USD $78,000.00 per year.
