Position Summary

The Assistant Dental Office Manager is a friendly, well-organized, growth-oriented multi-tasker who can positively motivate a dental team of Doctors, Hygienists, Front Office, and Ortho Assistants. Under limited supervision, the Assistant Manager works with the Orthodontic Dental Office Manager to ensure the successful operation of the dental office as a business unit. This includes managing staff, ensuring compliance with guidelines from the state and corporate office, maximizing office revenue, and providing excellent patient service.

Essential Functions
  • Supervise and evaluate work activities of the dental office personnel, keeping the Office Manager informed of issues.
  • Maintain communication between the Office Manager and the dental team, attending meetings and coordinating interdepartmental functions.
  • Review and analyze facility activities and data to improve service utilization and aid in financial and risk management.
  • Assist with scheduling procedures, call role-plays, and reviewing missed appointments.
  • Listen to phone calls, audit denial reports, and occasionally handle bank deposits.
  • Attend quarterly manager training and assist with office closing procedures.
  • Help plan, implement, and administer office programs, including personnel management and training.
  • Respond to patient and staff inquiries, solicit feedback, and participate in patient satisfaction initiatives.
  • Prepare activity reports and manage staff schedules and assignments.
  • Enforce dress code and cell phone policies, inspect facilities, and ensure safety and sanitation compliance.
  • Monitor resource use and assess staffing needs.
  • Maintain regular attendance.
Skills & Abilities

Education: High School Diploma or GED required.
Experience: 1+ years in management or dental office experience.
Certifications: Must obtain Scheduling Institute Certification within 30 days if not already certified.
Computer Skills: Knowledge of dental software (Eaglesoft preferred), Microsoft Office.
Other: Excellent communication and customer service skills, proficiency in patient and insurance accounts, professional appearance, flexibility to transfer locations, valid driver’s license, and knowledge of CDT codes.
