Job Title Assistant, Office - Adult Education - (Part-time Temporary) Full Time/Part Time Part-time Job Description

The Office Assistant is responsible for providing excellent customer service on the phone, via electronic means, and in person to provide information to the public about GTCC's Adult Education programs and assist students with the enrollment and assessment process. Work includes coordinating paperwork flow and documentation for Adult Education programs including registration and Literacy Education Information System (LEIS) forms. This person will report directly to an Adult Education Coordinator, Director, or Dean. This person will also assist with CASAS and/or TABE testing, student registration, student follow up and other duties as needed for the Adult Education programs.

Duties/Functions

  • Respond to inquiries via phone, electronic means, and in person from students and the general public. Provide coverage for departmental reception desk during day and/or evening hours. Determine needs of individual students in the program.
  • Advise students regarding attendance, educational and occupational goals and individual plans for progress.
  • Assist in review and evaluation of the accuracy and appropriateness of student data, outcomes, goals, etc., and report discrepancies or concerns to the program coordinator, dean, and/or director.
  • Assist with new student orientation and other program support processes.
  • Demonstrate and model the College's employability skills: adaptability, communication, information processing, problem solving, responsibility and teamwork.

Education Required

  • High School diploma or equivalent

Education Preferred

  • Associates Degree in Business Administration, Office Management or related field from a regionally accredited post-secondary institution, or at least four years of related administrative experience.

Experience Required

  • Experience in a clerical/office setting
  • Proficiency in Microsoft Office products and experience using word processing, developing spreadsheets, developing presentations, and using database software applications.

Experience Preferred

  • Experience in an academic setting

KSA Required

  • Demonstrate the skills and abilities to maintain and organize program specific documents.
  • Demonstrate proficiency in various computer software applications (i.e., MS Excel, Word, and PowerPoint).
  • Demonstrate the ability to meet the public easily, be willing to expand scope of knowledge and to adjust to flexible conditions/situations.
  • Ability to work independently with limited supervision.
  • Ability to work efficiently and calmly under pressure.
  • Ability to communicate effectively both orally and in written form.
  • Punctuality and flexibility in time management.
  • Neat and professional in appearance.
  • Proficient computer skills.
  • Accuracy and attention to detail is a must.
  • Ability to organize and maintain files for ready access.
  • Must be willing to work flexible schedules as needed.

KSA Preferred

  • Ability to communicate in another language.

  • Ensure all required documents are completed in a timely manner and in compliance with the Adult Education/Community College guidelines.

Required

The following (compliance) training is required and must be completed within the first 30 days of hire with annual refresher training thereafter:

  • Personal Information Protection Training (PIP)
  • Anti-Discrimination/Harassment & Title IX
  • Other training may be required as determined applicable.
