Job summary

A&O Shearman in San Francisco seeks an Assistant Managing Clerk to manage service of process, file pleadings, docket court documents, and calendar deadlines across federal and state matters.

You will assist with electronic filing protocols, maintain case databases, and support attorneys and staff with court procedures, learning California and federal rules while ensuring accuracy and timeliness.

Qualifications

  • Knowledge of court procedures, service requirements and filing requirements, with particular expertise in California federal and state court rules and procedures.
  • Prior e-filing, docketing and calendaring experience in a managing attorney's office and/or experience within a California state or federal court system.
  • Familiarity with CourtAlert and Compulaw (or comparable docket management systems), Bloomberg Law, PACER, PacerPro, CourtLink, Courthouse News Service, File & Serve
  • Familiarity with CourtAlert.com, NYSCEF, CM-ECF, ACMS
  • Working knowledge of Federal Rules of Civil Procedure, Federal Rules of Appellate Procedures, Federal Rules of Bankruptcy Procedure, California Code of Civil Practice, California Rules of Court, e-filing rules in various federal and state courts
  • Working knowledge of New York CPLR, New York trial and appellate court rules preferred
  • Ability to manage time and resources effectively
  • Excellent verbal, written communication skills and strong interpersonal skills
  • Ability to exercise good judgment
  • Ability to collaborate with others and have a strong client service focus
  • Excellent organizational skills and strong attention to detail
  • Good knowledge of MS Office, including ability to work with pdf versions, zip files, scanning, etc.

Responsibilities

  • Arrange for service of process, pleadings and other legal documents
  • File pleadings and other documents in court (conventionally or electronically) according to established firm and court procedures and within communicated deadlines
  • Open and close cases and maintain caseteams current in the CourtAlert and CompuLaw case management systems
  • Review and docket pleadings and other litigation documents in the CourtAlert and CompuLaw case management systems; compute and calendar associated deadlines based on all applicable rules
  • Prepare weekly calendar and case reports from CourtAlert and CompuLaw
  • Conduct court-related research
  • Advise attorneys and paralegals regarding electronic filing procedures and protocols and communicate with them about court filings and service of documents; review documents for proper form and compliance with applicable rules prior to filing
  • Arrange for delivery of courtesy copies to judges and other court personnel
  • Request information from outside court service agencies
  • Respond to requests to retrieve court dockets and documents
  • Communicate and develop working relationships with court personnel regarding court procedures and related questions
  • Assist with requests for court forms, templates and precedents
  • Maintain current database of attorney e-filing usernames and passwords and assist with creating and maintaining attorney e-filing accounts
  • Assist with attorney admissions (including pro hac vice) in various federal and state courts
  • Arrange for notarizations and legalization of documents (apostilles)
  • Assist with miscellaneous Managing Attorney's Office projects, as needed

Department purpose and structure

The Assistant Managing Clerk is responsible for service and filing of legal papers, monitoring and retrieval of documents and information from the courts, docketing court filings and other litigation documents and calendaring related deadlines, and researching and answering questions concerning procedural issues and court rules.

Education & experience
  • Bachelor's Degree preferred

  • At least 5-8 years of prior managing clerk experience in California preferred
  • Knowledge of and experience with electronic filing protocols
  • Experience docketing court documents and calendaring deadlines, particularly in California federal and state court cases
  • Licensed California notary, or willing to become licensed

This role is open to our San Francisco and Silicon Valley offices. For individuals assigned to or hired for this opportunity in San Francisco or Silicon Valley, the estimated annualized base salary range for this position is $100,000-$119,000. The actual base salary offered will depend on the overall qualifications of the individual applicant for the position and other job-related factors permitted by law. We offer competitive compensation and benefits package which includes a discretionary bonus, paid leave, life, health, accident, and disability insurance; and a 401(k) plan.
