is currently seeking candidates for the position of Assistant Manager of Facilities.

GENERAL DESCRIPTION:

POSITION PURPOSE

The Assistant Manager of Facilities (AMF) assists in the management of day-to-day operations of the college’s facilities. This includes, but is not limited to, overseeing the workflow of Maxwell Hall and Fifth Avenue. The AMF works with contractors to perform maintenance and repairs at all LIM College facilities. The AMF must possess exceptional organizational and managerial skills. The position requires a flexible schedule, which may include working weekends, holidays, nights, and being on-call 24/7. The AMF is responsible for communicating needed building repairs to the Manager of Facilities.

SALARY RANGE:

$58,000–$61,000 Annually

Essential Functions And Basic Duties
  1. Opening and closing floors and offices associated with LIM, when necessary.
  2. Scheduling, reviewing, and closing work orders in the department’s work order system, SchoolDude.
  3. Assisting the Manager of Facilities in quality control for the Facilities Department’s workflow.
  4. Scheduling Facilities staff member coverage for weekend events, weekend projects, and Facilities member’s vacation days.
  5. Creating and filing disbursement forms for invoices.
  6. Assisting the Manager of Facilities with the budget by placing all supply orders and providing precise recordkeeping to evaluate and control departmental spending.
  7. Managing recordkeeping for all Facilities including bill payments, departmental spending, equipment upkeep, supplies expenses, floor plans, incident reports, building and safety scheduled maintenance, and project scheduling.
  8. Assisting in creating departmental business processes, manuals, and database files.
  9. Training in all building emergency response procedures, including fires, natural disasters, and malicious destruction. Conducting daily inspections and hazard reports. Training staff and faculty in fire emergency procedures may be required.
  10. Ensuring compliance with fire safety regulations and inspection requirements.
  11. Participating in fire drills and trainings conducted by FDNY or fire protection companies.
  12. Performing monthly maintenance and cleaning inspections, supporting facilities team members when necessary.
  13. Responding to building emergencies as needed, including weather-related issues.
  14. Supervising and scheduling security personnel and participating in emergency planning meetings.
  15. Supervising and managing cleaning staff, ensuring contractual obligations are met.
  16. Performing general maintenance tasks such as caulking, painting, changing light bulbs, unclogging toilets, repairing furniture, troubleshooting equipment, and ensuring safety and compliance through regular inspections.
  17. Ordering and maintaining essential supplies.
  18. Providing notifications and follow-up on building issues affecting staff and students.
  19. Managing furniture inventory using scanning tools.
  20. Setting up facilities for special events, including weekends and evenings.
  21. Handling mail delivery, package scheduling, and storage logistics.
  22. Collaborating on renovations and construction projects, maintaining related records.
  23. Utilizing Microsoft Office applications.
  24. Participating in college-wide programs and supporting events outside normal hours.
  25. Maintaining accurate Facilities records.
  26. Providing excellent customer service.
  27. Performing other duties as assigned.
Qualifications

EDUCATION/CERTIFICATION: High School diploma or equivalent; some college preferred. Certifications in Fire Drill Conductor, Standpipe and Sprinkler Supervisor, and Supervisor of Interior Fire Alarm.

REQUIRED KNOWLEDGE: Skilled with power tools, handyman tasks, and detail-oriented. Familiar with Microsoft Office and capable of using other software applications.

EXPERIENCE REQUIRED: Ability to identify problems, exercise sound judgment, and solve issues efficiently. Well-organized with project management skills. Able to work independently and collaboratively.

SKILLS/ABILITIES: Basic electrician, plumbing, carpentry, locksmith, painting skills, proficiency in Microsoft Office, team management, and project coordination.
