Job description

We are seeking a proactive and organized Assistant Manager to join our dynamic team at a virtual metabolic care practice. The Assistant Manager will play a key role in overseeing day-to-day office operations, supervising office staff, and facilitating communication with external partners. This position requires strong leadership skills, excellent communication, and a passion for improving patient care within the realm of virtual healthcare services.

Responsibilities

Staff Supervision & Support:

  • Lead and manage office staff, including receptionists, medical assistants, and other administrative personnel.
  • Provide ongoing training, support, and guidance to ensure efficient operations and a positive work environment.
  • Monitor staff performance, provide feedback, and assist with performance reviews.
  • Coordinate scheduling and workflow to ensure smooth daily operations.

Virtual Care Operations Management:

  • Oversee the efficient operation of virtual metabolic care services, ensuring high-quality, timely patient interactions.
  • Help streamline patient intake processes, telehealth consultations, and follow-up communications.
  • Collaborate with healthcare providers to ensure the delivery of excellent care to patients remotely.

External Relations & Meetings:

  • Attend and represent the practice in meetings with external companies, potential partners, and vendors.
  • Negotiate partnerships, contracts, and service agreements that align with the practice’s goals.
  • Build and maintain relationships with key industry partners to stay informed of industry trends and best practices.

Administrative and Operational Support:

  • Assist with managing day-to-day office operations, including scheduling, billing, and patient inquiries.
  • Oversee office inventory and ensure that medical and office supplies are well-stocked and up to date.
  • Ensure compliance with healthcare regulations and organizational policies related to patient care and confidentiality.

Patient Care & Experience:

  • Provide a seamless experience for patients by ensuring high-quality customer service, both virtually and in-person.
  • Address patient concerns and feedback in a professional and timely manner.
  • Help coordinate patient appointments and follow-up care with the clinical team.

Process Improvement:

  • Identify areas for improvement in office workflows and virtual care services, and work with the team to implement more efficient processes.
  • Assist with the development of new procedures or protocols to improve patient care and office performance.
Requirements
  • Proven experience in office management, preferably in a healthcare or medical setting.
  • Strong leadership and team management skills.
  • Excellent verbal and written communication skills.
  • Ability to work effectively in a virtual environment and with remote staff.
  • Knowledge of medical terminology and virtual healthcare platforms is a plus.
  • Strong problem-solving and organizational skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Bachelor’s degree in healthcare administration, business, or a related field is preferred.
