Job summary

Jobot is seeking an Assistant Facilities Manager in Boston, MA to support daily operations, maintenance, safety, and compliance across multiple locations in a USDA/FDA-inspected environment.

The role requires 2–4 years in facilities maintenance, coordination of contractors, and energy-efficiency initiatives, with after-hours availability as needed. This permanent, on-site position offers growth under the Facilities Manager and a broad range of facilities projects.

Qualifications

• 2-4 years of facilities maintenance experience

Responsibilities

• Support the Facilities Manager with daily building, grounds, maintenance, repair, and security operations
• Coordinate outside contractors, service providers, and vendors
• Assist with preventive and corrective maintenance programs to reduce downtime
• Conduct facility inspections and ensure compliance with USDA, FDA, OSHA requirements
• Track facility-related expenses and prepare cost estimates for repairs and improvements
• Support sustainability and energy-efficiency initiatives
• Assist with space planning and workplace improvement projects
• Develop and maintain emergency response procedures
• Provide direction to maintenance personnel as needed
• Coordinate renovations and projects while minimizing production disruption
• Respond to emergency facility calls across multiple locations
• Adjust work schedules based on seasonal production demands

Key Responsibilities

• Support the Facilities Manager with daily building, grounds, maintenance, repair, and security operations
• Coordinate outside contractors, service providers, and vendors to ensure timely, high-quality, and cost-effective work
• Assist with preventive and corrective maintenance programs to reduce equipment and facility downtime
• Conduct facility inspections and help ensure compliance with USDA, FDA, OSHA, environmental, and workplace safety requirements
• Track facility-related expenses and prepare cost estimates for repairs, upgrades, and improvement projects
• Support sustainability and energy-efficiency initiatives
• Assist with space planning, facility layout changes, and workplace improvement projects
• Help develop and maintain emergency response and disaster recovery procedures
• Provide direction and support to maintenance personnel as needed
• Coordinate renovations, installations, repairs, and other facility-related projects while minimizing disruption to production
• Respond to emergency facility calls across multiple locations
• Adjust work schedules based on seasonal production demands and operational needs

Qualifications

• 2-4 years of experience in facilities maintenance, industrial maintenance, food manufacturing, or a related field
• Experience working in a USDA- and/or FDA-inspected manufacturing environment strongly preferred
• Working knowledge of building systems, preventive maintenance practices, safety procedures, and regulatory compliance
• Experience coordinating contractors, vendors, maintenance personnel, and facility projects
• Ability to prepare cost estimates, track expenses, and work within established budgets
• Strong organizational, communication, and problem-solving skills
• Ability to prioritize multiple projects and respond effectively to urgent facility needs
• Previous leadership or staff coordination experience preferred
• Ability to support emergency calls 24 hours a day when needed
• Availability to work after hours, weekends, and holidays as operational needs require
